Organization’s Mission

CASA of Fresno & Madera Counties provides advocacy and hope for children in the foster care and juvenile justice systems by providing effective support, empowering resources, and trained, consistent, caring court-appointed volunteer Advocates who ensure high-quality care today and healthier outcomes for each child’s future.

Position Goal

The CASA Program Coordinator serves as the administrative and operational backbone of CASA's Program Department. This position supports the Fresno and Madera Program Directors and Advocate Supervisors to coordinate, retain and manage court information, case records, volunteer and youth data, reporting systems, program resources, advocate communications, and general department operations. The Program Coordinator also ensures the Program team is effectively communicating, aligned, and carrying out program objectives and projects as directed by the Program Directors and Executive Director

The Program Coordinator works closely with Program Directors, Advocate Supervisors, volunteers, court partners, and other staff to ensure accurate program records, timely communication, effective program administration, and compliance with organizational and court requirements. This position requires exceptional organizational skills, communication ability, attention to detail, discretion in handling confidential information, and the ability to proactively solve problems, develop solutions, and manage multiple priorities in a fast-paced environment.

Key Responsibilities

Administration, Communication & Data Management
Provide general administrative support including document preparation, data entry, filing, faxing, and copying.
Ensure timely and accurate calendaring for Fresno & Madera Program Directors and Advocate Supervisor(s).
Coordinate meeting preparation, including agendas, handouts, and follow-up task communication.
Write and send the monthly Advocate newsletter as well as ensure all program staff are up-to-date on youth support opportunities, activities, and requirements.
Support the management, cleaning, and compiling of all program-related data for monthly reports, quarterly reports, impact reports, grantor reporting, and program analysis exercises as requested. This will include the support of staff and Advocate training in data entry and requirements, ensuring data accuracy and completeness, following up on data gaps, and communicating data discrepancies for problem solving to the Directors.
Perform front office duties when needed, including answering phones, covering daily lunches, and assistance routing calls to appropriate staff or greeting the public.
Other duties as assigned.

Program Coordination & Reporting
Coordinate and maintain program records, court calendars, case assignments, waitlists, and related documentation.
Responsible for timely and accurate data entry into databases including, but not limited to, Advocate by Supervisor Report and Waitlist spreadsheet. Responsible for data integrity.
Maintain accurate and timely filing for Advocate files, active case files, and waitlist case files per CASA and court-requirements.
Support the onboarding, assignment, and tracking of volunteer Advocates and youth served.
Assist Fresno & Madera Program Directors in maintaining a sufficient stock of resources, including partner handouts, Journey of Hope Advocate Guides, training booklets, etc. as stored electronically and in the CASA Library.
Keep the Fresno & Madera Program Directors and Executive Director apprised of any issues to be resolved as well as weekly priorities.
Provide support and attend CASA events as needed, with priority focus on youth and Advocate events.
Other duties as assigned.

Desired Minimum Qualifications

High School diploma, certificate or diploma in a 2-year post high school program. Bachelor’s Degree preferred.
Minimum 3 years of experience as an Administrative Assistant or Coordinator, with experience serving in non-profit, social service or legal agencies preferred.
Knowledge and ability to use or quickly master the use of office equipment, including a personal computer, and various software packages including Microsoft, Canva, case management systems, etc.
Ability to type at least 45 words per minute.
Ability to proactively and effectively organize, set priorities, take initiative, solve problems, exercise sound independent judgment, and maintain confidentiality within areas of responsibility.
Excellent oral and written communication for both internal and external audiences.
Ability to carry out assigned duties and responsibilities in an ethical manner and follow the organization's policies.
Possess a valid California Driver’s License and successfully pass a formal background check.

Working Conditions

The duties of this position regularly require travel in Fresno and Madera Counties in your own personal vehicle. The position may occasionally require travel within the State of California. This position rarely requires strenuous activity. Occasional weekend and/or evening hours may be assigned as needed. We also offer a partial flexible schedule with one day work-from home per week.

While performing the duties of this job, employees may regularly be required to: walk; climb stairs; talk or hear, both in person and by telephone; use hands to operate standard office equipment; reach with hands and arms; carry multiple items at one time; and, lift up to 20 pounds. There may be prolonged periods of sitting and computer work. The duties of this position also require on-the-job driving.

Equipment

This position functions in an office environment. It requires the use of general office equipment such as a personal computer, printer, fax machine, copy machine and telephone.
