Administrative Assistant (Contract-to-Hire)

Pay Rate: $30-$35/hour
Annual Salary Upon Conversion: $55,000-$65,000
Schedule: Monday-Friday, 8:00 AM-4:30 PM
Location: Saint Louis Park, MN

About the Opportunity

We are seeking a highly organized and adaptable Administrative Assistant to join a busy, team-oriented office environment. This is an immediate need with the opportunity to transition into a long-term position. The ideal candidate thrives in a fast-paced setting, enjoys supporting a variety of administrative functions, and is willing to jump in wherever needed to help the team succeed.

Key Responsibilities

Prepare, edit, proofread, and manage business documents including reports, presentations, proposals, correspondence, and other materials
Monitor and respond to administrative support requests
Maintain organized filing systems and project documentation
Coordinate travel arrangements and itineraries
Schedule meetings, conference calls, and room reservations
Partner with vendors regarding office services and facility needs
Support reception coverage, mail distribution, shipping, and office operations
Maintain office supplies, break room inventory, and overall facility readiness
Assist with special events, including setup and coordination
Support departmental administrative procedures and systems
Provide exceptional customer service to internal stakeholders
Proactively identify opportunities to support team and office needs

Qualifications

Proficiency in Microsoft Office 365, including Word, Excel, Outlook, and calendar management
Strong document formatting, proofreading, and organizational skills
Experience handling confidential information with discretion
Experience coordinating mail, shipping, and office logistics
Excellent communication and customer service skills
Ability to prioritize tasks and adapt to changing business needs

Schedule & Overtime

Standard schedule: Monday-Friday, 8:00 AM-4:30 PM
Overtime is expected, typically 4-6 hours per week, depending on business needs
Flexibility to occasionally start as early as 7:00 AM or work as late as 6:30 PM
Additional hours may be needed for special events, large projects, or team coverage
