Full Job Description

Job Overview

This position requires previous experience working in a construction, remodeling, restoration, or general contractor office. Applicants without construction-industry office experience will not be considered.

We are a well-established construction and remodeling company. We specialize in residential renovations, additions, and insurance restoration projects. We're seeking an experienced and highly organized Office Manager/Production Manager to help us manage projects, leads, operations — and support light marketing initiatives. We are looking for candidates with experience ONLY and offer $30/h + PLUS BONUSES. You can reach up to 6K-6.5K a month with bonuses.

Responsibilities

Manage day-to-day administrative operations of the office.
Answer and direct phone calls, emails, and client inquiries professionally.
Maintain and update project files, contracts, vendor documents, and change orders.
Coordinate scheduling for project managers, crews, vendors, and inspections.
Track leads, proposals, and active jobs through CRM or lead management systems.
Manage invoicing, expenses, and financial records using QuickBooks Online - Must!!!
Support permit submissions, insurance claim documentation, and job tracking.
Prepare proposals, letters, and reports using Microsoft Office (Word, Excel, PowerPoint, Outlook) - Must!!!
Maintain/update social media posts (Facebook, Instagram)- Must!
Assist with customer review requests and light online engagement.
Communicate between clients, field teams, and management to ensure smooth project flow.
Coordinate materials and deliveries
Schedule subcontractors and inspections
Manage multiple projects simultaneously
CRM experience (Zoho preferred)
Experience collecting payments and tracking invoices

Experience

Proven experience in an administrative role or similar capacity is preferred. (A minimum of 1-year)
Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Strong working knowledge of QuickBooks Online (required).
Experience managing CRM systems (lead and project tracking). (Zoho-preffered)
Familiar with social media platforms like Facebook, and Instagram for posting updates or client engagement.
Excellent organizational and time management skills.
Professional, confident, courteous communication style — both written and verbal.
Strong ability to multi-task, prioritize, and manage fast-paced environments.
Detail-oriented, dependable, proactive attitude.
