Part-Time Administrative Assistant

CBM Estate & Trust Law (Carmen B. Marquez, P.C.) Simi Valley, CA · Part-time, in person · ~15 hours/week · $17.00/hour

About Us

CBM Estate & Trust Law is a boutique estate planning and trust administration firm serving families across Ventura and Los Angeles counties from our offices in Simi Valley and Glendale. We help people protect what they've built and make things easier for the people they leave behind. Our clients are often navigating a difficult moment, and the way they're treated in our office matters as much as the documents we prepare.

The Role

We're looking for a dependable, detail-oriented Administrative Assistant to support the day-to-day operations of our Simi Valley office. This is a hands-on support role: you'll prepare and organize client documents, keep our office running smoothly, and be one of the first people our clients see when they walk in.

It's a great fit for someone who takes pride in careful, accurate work, enjoys working with people, and wants steady part-time hours in a professional environment. No legal background is required — we'll train you on everything specific to our practice.

What You'll Do

Document preparation and organization

Scan, print, hole punch, and assemble client portfolios and binders
Create client USB drives
Review signed documents for completeness before they go to clients — catching a missing signature or initial before it leaves the office
Scan signed deeds and send them to our recording service
Data entry and record keeping — keeping client files organized, accurate, and easy to retrieve

Client support

Greet clients and make them feel welcome — offering water, showing them to the conference room
Set up meeting rooms for document signings
Coordinate appointments, including scheduling clients to come in for final payments and document pickup
Handle client follow-up calls and emails
Prepare and hand off client gifts
Invite clients to leave a review after a signing or pickup

Office support

Keep supplies stocked — paper, ink, staples, binders, folders, USB drives — and either flag what's running low or pick it up
Occasional trips to our Glendale office to drop off or pick up client documents (mileage reimbursed)
General administrative support as needed

What We're Looking For

Required

Genuinely good with people — warm, patient, and professional, especially with older clients and families going through a loss
Strong attention to detail; you double-check your work
Reliable and punctual — our clients are scheduled, so the office needs to be covered
Able to handle confidential information with complete discretion
Comfortable with Microsoft Office (Word, Excel, Outlook) and Google Workspace, and quick to pick up new software
Valid driver's license and reliable transportation
Able to work in person at our Simi Valley office
Legally authorized to work in the United States

Preferred, not required

Prior office, clerical, administrative, or customer service experience
Bilingual English/Spanish

Schedule & Compensation

$17.00 per hour
Approximately 15 hours per week
Flexible scheduling — three 5-hour days or four 4-hour days both work. We'll set a consistent schedule together and stick to it.
In person at our Simi Valley office
