Full Job Description

Overview

We are seeking a highly organized, proactive Administrative & Operations Coordinator to help keep our office and daily operations running smoothly. The ideal candidate is dependable, detail-oriented, resourceful, and comfortable managing multiple priorities in a fast-paced environment.

Key Responsibilities

Answer phones and direct potential clients to the appropriate team member
Update project boards and prepare reports
Enter cost estimates into QuickBooks
Perform Accounts Payable data entry
Serve as backup to the Finance & Administration Manager for payroll, invoicing, and payables
Add and remove users from company accounts and systems
Maintain and update insurance policies for all company vehicles and buildings
Maintain business licenses and contractor licenses
Maintain and update the subcontractor COI Book
Prepare for and communicate with insurance audit adjusters
Manage office cleaning and maintenance
Coordinate weekly trash, recycling, and yard debris
Manage IT needs and serve as the office contact with Computer Warriors
Coordinate project debriefs and assist with lawsuit-related matters
Maintain corporate books and meeting minutes
Manage file storage and package shipping
Pick up mail and deliver bank deposits
Maintain kitchen supplies and office provisions
Assist the Finance & Administration Manager with year-end preparation, delivering documents to the Accountant, office errands, and other assigned tasks
Provide general administrative and operational support as needed

Qualifications

Previous administrative, office management, or operations experience
Strong organizational, communication, and time-management skills
Proficiency with Microsoft Office and QuickBooks
Excellent attention to detail and recordkeeping skills
Professional phone etiquette and communication skills
Ability to handle confidential information with discretion
Self-motivated, dependable, and able to prioritize independently
Bilingual skills are a plus
