Job Overview

We are seeking an organized and professional Administrative Assistant to join our team. In this role, you will manage our front lobby, route high-volume phone calls, and provide critical administrative support to our project, preconstruction, and accounting teams. The ideal candidate has excellent communication skills, thrives in a fast-paced environment, and can confidently handle a diverse mix of clients, subcontractors, and field laborers.

Responsibilities

Manage multi-line phone systems, answer inquiries promptly, and direct calls to appropriate departments with professionalism and courtesy
Handle front desk duties including greeting visitors, maintaining a welcoming environment, and managing visitor logs
Perform data entry, assist in reviewing timecards, assist in lien/compliance tracking for projects.
Sort and distribute daily mail, courier packages, and incoming project plans; handle outbound payments, shipments and certified mail.
Assist the estimating team by routing incoming subcontractor bids and coordinating the prequalification process.
Support office management activities such as filing, organizing supplies, and maintaining office equipment to ensure smooth daily operations

Requirements

Proven clerical experience with strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and general computer literacy
Excellent phone etiquette with the ability to handle multiple lines efficiently in a fast-paced environment
Familiarity with office management practices including calendar management and client support
Strong time management skills with the ability to prioritize tasks effectively
Previous experience in customer service or front desk roles is preferred, experience in the construction industry is a plus

Pay: $55,000.00 - $65,000.00 per year
