Job Summary
We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! This vital role combines accurate financial record-keeping with efficient administrative support to ensure smooth daily operations. The ideal candidate will be proactive, highly organized, and possess excellent communication skills. You will manage bookkeeping tasks, handle front desk responsibilities, and provide exceptional customer service, all while maintaining a positive and energetic work environment. This paid position offers an exciting opportunity to develop your skills across multiple office functions and contribute to the success of our organization.

Duties

Manage accounts payable and receivable using QuickBooks or similar accounting software, ensuring timely invoicing and payments
Perform data entry, maintain accurate filing systems, and update financial records regularly
Greet visitors at the front desk with professionalism and courtesy, providing excellent customer support
Answer multi-line phone systems promptly, directing calls efficiently and professionally while practicing proper phone etiquette
Support office management tasks such as calendar management, scheduling appointments, and organizing meetings
Handle clerical duties including proofreading documents, managing correspondence, and maintaining office supplies
Assist with personal tasks or administrative projects as needed to support team members’ productivity

Skills

Proficiency in QuickBooks, Microsoft Office (Word, Excel, Outlook), and Google Workspace applications
Strong organizational skills with the ability to multitask effectively in a fast-paced environment
Excellent communication skills in both English and bilingual (if applicable), demonstrating clear phone etiquette and customer service expertise
Demonstrated clerical experience including data entry, filing, proofreading, and document management
Knowledge of bookkeeping principles and basic financial procedures for accurate record keeping
Ability to prioritize tasks efficiently using time management skills and maintain high levels of accuracy in all work performed
