Office Manager

Momentum Warehousing LLC – Phoenixville, PA

Position: Office Manager

Job Type: Full-Time, In-Person

Classification: Hourly (Non-Exempt)

Schedule: Monday–Friday, 8:00 AM – 4:30 PM (30-minute unpaid lunch)

Compensation: $28.00–$35.00 per hour, based on experience.

About Momentum Warehousing

Momentum Warehousing is a growing custom warehousing and logistics company committed to providing exceptional service to our customers. Momentum Warehousing provides warehousing and logistics services for Quigley Crucible, our primary customer and industry leader. This position is employed by Momentum Warehousing but provides administrative and logistics support for both Momentum Warehousing and Quigley Crucible as part of our daily operations.

Position Summary

The Office Manager serves as the first point of contact for our company and is responsible for overseeing daily office operations while supporting logistics and warehouse coordination. This role is essential to keeping our business running efficiently by managing administrative functions, customer communications, invoicing, accounting support, shipping coordination, and office organization. The ideal candidate is organized, dependable, detail-oriented, self-motivated, and enjoys working in a fast-paced environment where no two days are the same.

Responsibilities

Answer and direct incoming phone calls professionally.
Monitor and respond to company emails.
Greet customers, vendors, delivery drivers, and visitors in a friendly and professional manner.
Serve as the first point of contact for all office inquiries and day-to-day administrative needs.
Prepare and process customer sales orders, purchase orders, quotations, and invoices.
Enter vendor bills into the accounting system accurately and in a timely manner.
Prepare and complete bank deposits.
Maintain organized electronic and paper filing systems.
Keep customer files, office records, and documentation organized.
Assist management with daily administrative and operational tasks.
Order and maintain office supplies. When the Warehouse Manager is unavailable, coordinate inbound and outbound freight by scheduling trucks, arranging shipments, and preparing and printing shipping documents.
Occasionally, begin your workday earlier when a shipping container arrives to assist with receiving. Accommodations will be made to maintain your regular number of weekly hours.
Perform other administrative duties as needed.

Qualifications

Minimum of three (3) years of office administrative experience is required.
Excellent customer service and interpersonal communication skills.
Strong organizational skills with exceptional attention to detail.
Ability to multitask, prioritize responsibilities, and work independently.
Proficiency in Microsoft Outlook, Microsoft Word, and Microsoft Excel.
Experience with bookkeeping, invoicing, accounting software, inventory management, or logistics coordination is strongly preferred.
Professional demeanor, positive attitude, and strong work ethic.
High school diploma or equivalent required.

Additional Qualifications

Candidates considered for the higher end of the compensation range (up to $35.00 per hour) may possess additional experience supporting warehouse operations, including the ability to operate a forklift and provide warehouse coverage when the Warehouse Manager is unavailable. Forklift experience is not required, and qualified applicants without forklift experience are encouraged to apply. However, candidates who are able to perform both office management duties and occasional warehouse support may be eligible for higher compensation based on their experience and qualifications.
