Position Description: Who We Are

Hispanic Federation (HF) is the nation's premier Latino nonprofit membership organization. Founded in 1990, HF supports Latino families and strengthens Latino institutions through grantmaking, capacity building assistance to Latino nonprofits, advocacy, disaster relief, and direct services. HF has a staff of over 100 at its New York headquarters and field offices in Los Angeles, CA; Hartford, CT; Washington, DC; Orlando, FL; Chicago, IL; Charlotte and Mount Olive, NC; and San Juan, PR. It serves 133 member organizations and a national network of 700 Latino nonprofits in 42 states, Puerto Rico, and the District of Columbia.

Who We Seek

Hispanic Federation seeks a Junior Grants Accountant to support the Grants Accountant assigned to government and private funding portfolios. The role primarily pulls and organizes supporting documentation, assists with the initial review of subrecipient financial reports, and prepares draft funder reports and supporting schedules for review by the Grants Accountants.

The successful candidate is careful, dependable, service-oriented, and eager to build expertise in nonprofit and grants accounting. The Junior Grants Accountant works within established procedures and under the direction of the Grants Accountants, accurately gathers records, performs routine comparisons and calculations, documents discrepancies, and escalates questions for review.

Reports to: Vice President for Finance and Administration

Day-to-day direction: Assigned Grants Accountants

Position location: This position is based in HF's New York City headquarters and follows HF's hybrid work schedule, with staff working from the office approximately 50% of the time.

Essential Functions

Pull invoices, payroll records, general ledger detail, proof of payment, contracts, budgets, and other supporting documentation from HF systems and files for assigned grants.
Organize and index documentation so that funder reports, invoices, audits, monitoring reviews, and grant closeouts are complete and readily traceable to the accounting records.
Assist the Grants Accountants with the initial review of subrecipient financial reports and payment requests for completeness, mathematical accuracy, required supporting documentation, and consistency with approved budgets and reporting periods.
Document missing information, calculation differences, and other review questions in a clear exception log for the Grants Accountant.
Prepare draft funder invoices, vouchers, drawdown schedules, fiscal reports, expenditure summaries, and supporting schedules using general ledger data and approved templates.
Tie draft funder reports and supporting schedules to the general ledger, approved budget, and source documentation; note differences for review.
Maintain accurate grant, reporting, and subrecipient trackers, including submission dates, review status, corrections, approvals, payments, and outstanding documentation.
Follow up with program staff, subrecipients, and contractors for missing documentation or routine corrections at the direction of the Grants Accountant.
Assist with routine reconciliations and roll forward schedules for grant expenditures, receivables, cash activity, and subrecipient balances; report discrepancies to the Grants Accountant.
Enter, classify, and summarize financial data in spreadsheets, trackers, and grant-management tools, with work subject to review.
Support the Grants Accountants with documentation requests and schedules for month-end and year-end close, audits, funder monitoring, and grant closeouts.
Monitor assigned deadlines, communicate status updates to the Grants Accountants, and escalate delays or unresolved issues promptly.
Perform other duties as assigned.

Education and Experience

Bachelor's degree in accounting, finance, business administration, or a related field, or an equivalent combination of relevant education and accounting experience.
At least one year of relevant accounting, finance, grants administration, or financial operations experience. Relevant internships or structured training may be considered.
Proficiency with Microsoft Excel and Word and the ability to learn accounting and grant-management systems.
Nonprofit, grant, or public funding experience is preferred but not required. Professional proficiency in Spanish is an asset.

Required Knowledge, Skills, and Abilities

Knowledge

Foundational knowledge of accounting principles, including debits and credits, transaction coding, supporting documentation, and account reconciliation.
Knowledge of basic arithmetic, spreadsheet practices, and administrative procedures for maintaining complete and accurate financial records.
Basic knowledge of restricted funding or grant compliance is preferred; willingness and ability to learn funder-specific requirements is required.

Skills

Skill in checking figures, codes, postings, and documents for accuracy and completeness.
Skill in reconciling records, documenting discrepancies, and organizing supporting information for review.
Strong organizational and time-management skills, including accurate tracking of multiple submissions and deadlines.
Clear written and verbal communication skills for routine follow-up, status reporting, and requests for correction.
Strong spreadsheet, data-entry, and file-management skills with close attention to data integrity.

Abilities

Ability to apply established rules and procedures consistently while recognizing when a transaction is incomplete, inconsistent, or needs supervisory review.
Ability to concentrate on detailed financial work, compare information across documents, and maintain accuracy during repetitive tasks.
Ability to prioritize assignments, meet deadlines, adapt to changing needs, and follow through on outstanding items.

Compensation and Benefits

The salary range for this position is $60,000 to $65,000 and is commensurate with experience. HF offers a robust benefits package that includes fully paid medical, dental, and vision insurance beginning on the first day of employment; highly subsidized coverage for eligible family members; access to a 403(b) retirement plan with an employer match after six months; medical flexible spending; and pre-tax commuter benefits.

First-year employees receive 15 vacation days, 4 personal days, and 8 sick days annually.
