Resident Experience Coordinator

The Resident Experience Coordinator is responsible for creating an outstanding resident experience throughout the entire customer lifecycle—from prospect to move-in, residency, renewal, and move-out. This role serves as the primary advocate for resident satisfaction by driving retention initiatives, coordinating resident communications and events, supporting leasing efforts, and ensuring a seamless transition through every stage of residency.

The ideal candidate is highly organized, customer-focused, proactive, and passionate about delivering exceptional service. Success in this role is measured by resident satisfaction, renewal conversion, online reputation, and occupancy performance.

Resident Experience & Retention

· Build strong relationships with residents through proactive communication and exceptional customer service.

· Follow up on outstanding renewal offers.

· Execute renewal lease documents accurately and timely.

· Coordinate resident renewal touchpoints throughout the lease term.

· Perform resident retention outreach to encourage lease renewals.

· Analyze move-out reasons and identify opportunities to improve retention.

· Track and report renewal conversion metrics.

· Coordinate move-in follow-up communications and resident check-ins.

· Organize resident appreciation events and community engagement activities.

· Coordinate welcome gifts and move-in experiences.

· Distribute and monitor resident satisfaction surveys.

· Resolve resident concerns professionally and promptly while escalating issues as necessary.

· Perform routine amenity inspections to ensure common areas remain clean, functional, and welcoming.

Leasing & Occupancy Support

· Conduct apartment tours for prospective residents.

· Follow up with prospects through phone, email, and text communication.

· Monitor leasing velocity and communicate trends to management.

· Support occupancy and leasing goals through outstanding customer service.

Move-Out & Make-Ready Coordination

· Receive and process notices to vacate.

· Schedule and coordinate pre-move-out communications.

· Conduct move-out inspections.

· Determine apartment make-ready scope in coordination with maintenance.

· Perform final inspections of completed apartment turns before new resident move-in.

Marketing & Reputation Management

· Maintain and update community social media platforms.

· Coordinate website content updates.

· Update Internet Listing Services (ILS) with current pricing, availability, and photography.

· Coordinate professional photography and marketing assets.

· Monitor online reviews across all platforms.

· Draft and post timely responses to resident reviews.

· Participate in local outreach marketing efforts and community partnerships.

Financial Administration

· Participate in regular delinquency reviews with the management team.

· Proactively contact residents with delinquent balances to understand their circumstances and discuss available payment options.

· Develop proposed payment plan terms that balance resident needs with the property's financial objectives.

· Present recommended payment plans to management for review and approval.

· Monitor approved payment plans, follow up with residents on compliance, and communicate any issues to management.

Qualifications

· Two or more years of experience in multifamily housing, hospitality, customer service, leasing, or a related field preferred.

· Exceptional communication and interpersonal skills.

· Strong organizational and time management abilities.

· Ability to manage multiple priorities in a fast-paced environment.

· Professional conflict resolution and customer service skills.

· Proficiency with Microsoft Office and property management software.

· Experience with Entrata or similar property management software is preferred.
