Temporary Opportunity with Strong Potential for Permanent Placement.

The Gillman Companies is a well established, family owned automotive group with dealerships throughout Texas and corporate headquarters in Houston.

We are seeking an experienced automotive dealership accounting professional to join our team. This opportunity will begin as a temporary Assistant Office Manager assignment supporting our Nissan dealership in Rosenberg while providing coverage for a leave of absence.

While this position is temporary, there is a strong possibility of transitioning into a permanent Assistant Office Manager role at our Houston Corporate Office. As our organization continues to grow, we anticipate an ongoing need for experienced dealership accounting professionals and are looking for someone interested in building a long term career with Gillman.

Potential for Permanent Corporate Opportunity

Position Summary

The Assistant Office Manager will partner closely with the Dealership Controller to oversee daily accounting operations, support the accounting team, maintain financial accuracy, and ensure compliance with dealership and manufacturer requirements.

Key Responsibilities

Supervise the Nissan accounting staff, including receptionists.
Assist the Dealership Controller with month end close and journal entries.
Maintain and reconcile accounting schedules, ensuring timely posting and accurate documentation.
Prepare NCM 20 Group supplemental data and assist with financial reporting.
Process weekly payroll and payroll tax entries.
Post and reconcile manufacturer receivables, including warranty claims, rebates, incentives, holdback, PDI, advertising, and floorplan assistance.
Attend weekly Nissan management meetings.
Reconcile intercompany accounts between related dealerships.
Process extended product payables, finance reserve reconciliations, and warranty cancellation adjustments.
Coordinate and support Nissan floorplan audits with bank representatives.
Reconcile vehicle inventory, dealer statements, parts accounts, and manufacturer statements.
Prepare monthly sales, lease, rental, battery, and loaner vehicle reports and related accounting entries.
Review accounts payable reconciliations, floorplan payoffs, credit card reconciliations, and outstanding accounting items.
Research and prepare accounting entries related to banking activity, sublet schedules, and other reconciliations.
Prepare and review sales bonus calculations.
Serve as an authorized signer for Nissan accounts payable checks.
Perform other duties as assigned.

QualificationsRequired

Previous automotive dealership accounting experience is required. Applicants without dealership accounting experience will not be considered.
Experience as an Assistant Office Manager, Office Manager, Senior Staff Accountant, Controller, or similar dealership accounting leadership role.
Strong knowledge of dealership accounting processes, manufacturer receivables, reconciliations, and financial reporting.
Excellent organizational skills with the ability to manage multiple priorities and meet deadlines.
Strong verbal and written communication skills.
Proficiency with Microsoft Excel and Microsoft Word.

Preferred

Accounting degree.
Nissan dealership accounting experience.
Reynolds & Reynolds ERA Ignite experience.

Requirements

Must be authorized to work in the United States.
Must successfully pass a drug screen and comprehensive criminal background check.
Self motivated with a strong work ethic and commitment to excellence.
Ability to thrive in a fast paced dealership environment.

Pay: $55,000.00 - $65,000.00 per year
