Job Overview

We are seeking a dynamic and organized Office Staff member to join our team! In this vital role, you will serve as the backbone of our daily operations, ensuring smooth administrative functions and excellent customer support. Your energy, efficiency, and attention to detail will help create a welcoming environment for clients, visitors, and team members alike. This position offers an exciting opportunity to develop your office management skills while contributing to a vibrant workplace.

Duties

Manage office responsibilities, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
Perform data entry and maintain accurate records using spreadsheets, Microsoft Office, Google Workspace, Quickbooks, and other productivity software
Handle scheduling tasks such as calendar management and appointment setting for staff or clients
Support bookkeeping activities using QuickBooks or similar accounting software to assist with invoicing, expense tracking, etc.
Assist with filing, document proofreading, and organizing office supplies to ensure a tidy and efficient workspace
Provide excellent customer service by addressing inquiries via phone or email promptly and effectively
Support office management tasks including but not limited to preparing reports and maintaining client communication logs

Requirements

Proven experience in an office environment with strong clerical skills and familiarity with office management procedures
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Quickbooks for document creation, invoicing, and expense recording
Demonstrated computer literacy with technical proficiency in data entry, typing accuracy, and file organization
Excellent organizational skills with the ability to multitask effectively in a fast-paced setting
Strong communication skills including phone etiquette and customer support experience; bilingual abilities are a plus
Experience with multi-line phone systems, office operations, or receptionist roles is highly desirable
Knowledge of bookkeeping software such as QuickBooks is preferred
Ability to handle sensitive information discreetly while maintaining professionalism at all times
