Entry-Level Document Control Coordinator
National Air Balance Company (NABCO)
Starting Salary: Approximately $50,000 | Full-Time | Career Growth Opportunity
Build a Career — Not Just a Job
National Air Balance Company (NABCO) is looking for a motivated, detail-oriented individual to join our growing Document Control team.
This is an entry-level opportunity designed for someone who wants to build a career in commercial construction, HVAC, project management, and operations. You will work directly with project managers, field technicians, contractors, engineers, and our operations team while gaining valuable experience in one of the most important parts of the construction process.
If you are someone who enjoys learning how things work, solving problems, working with technology, and taking ownership of your work, this position can be the beginning of a long-term career with NABCO.
We are not looking for someone to simply push paperwork. We are looking for someone we can develop.
Why This Position Is Different
Document Control is at the center of our projects. You will gain exposure to virtually every stage of a commercial HVAC/TAB project—from reviewing mechanical drawings and specifications to managing submittals, coordinating information, preparing reports, and supporting project managers in the field.
As you develop your knowledge and demonstrate your ability to take on additional responsibility, there are numerous opportunities to advance within the organization.
Potential career paths include:
- Document Control Lead
- Senior Document Control Coordinator
- Document Control Department Manager
- Document Control Technical Specialist
- Project Coordinator
Your starting position does not define where you can finish.
We believe in promoting people who demonstrate initiative, accountability, technical ability, and leadership.
What You'll Do
As an Entry-Level Document Control Coordinator, you will support our project management and field operations teams by ensuring project information is accurate, organized, accessible, and moving through the organization efficiently.
Responsibilities will include:
- Manage and organize project documentation from project startup through completion
- Review, process, and track mechanical/HVAC submittals
- Read and interpret mechanical drawings, plans, specifications, and construction documents
- Work with Bluebeam to review, mark up, organize, and distribute project documents
- Work within Procore to manage project documentation, RFIs, submittals, drawings, and project correspondence
- Assist with preparation and distribution of TAB reports and project deliverables
- Coordinate information between Project Managers, technicians, contractors, engineers, and clients
- Create, track, and follow up on RFIs and other project documentation
- Maintain accurate project files and documentation
- Assist Project Managers with project startup and closeout activities
- Track outstanding documentation and help ensure deadlines are met
- Identify missing or inconsistent information and communicate issues to the appropriate team member
- Assist with project reporting, scheduling, and administrative coordination
- Utilize Microsoft Excel to organize, track, and analyze project information
- Learn and develop an understanding of commercial HVAC systems, testing and balancing, and construction processes
- Take on increasing responsibility as knowledge and experience develop
What We're Looking For
This is an entry-level position, so we are more interested in your ability to learn, think critically, and take ownership than having years of experience.
The ideal candidate will have:
- Strong attention to detail
- Excellent organizational skills
- A willingness to learn and grow
- Strong written and verbal communication skills
- Basic understanding of commercial construction or mechanical/HVAC systems
- Ability to read and understand mechanical drawings and construction plans
- Proficiency with Microsoft Excel
- Experience with or willingness to learn Bluebeam
- Experience with or willingness to learn Procore
- Ability to manage multiple priorities and deadlines
- Strong computer and technology skills
- Ability to work independently while also being part of a team
- A professional attitude and strong sense of accountability
- A desire to build a long-term career, rather than simply find a job
Preferred Experience
Candidates with any of the following experience will be especially valuable:
- Commercial HVAC or mechanical construction
- Construction administration
- Document control
- Engineering or architecture
- Project coordination
- Bluebeam
- Procore
- Mechanical/HVAC plan reading
- Construction submittals
- RFIs
- Excel
- TAB, HVAC, or building systems
Construction or HVAC experience is helpful, but it is not required for the right candidate.
Your Opportunity to Grow
NABCO is committed to developing people internally.
Someone entering this position today could develop into a Document Control Lead, Senior Document Control Coordinator, Document Control Department Manager, Document Control Technical Specialist, or Project Coordinator as they gain experience and demonstrate their capabilities.
You will be exposed to:
Construction → HVAC → TAB → Project Management → Estimating → Field Operations → Client Management → Leadership
The more you learn, the more responsibility you can take on.
We want our employees to understand why things are done—not simply how to complete a task. As your technical and business knowledge grows, so will your opportunities.
What Success Looks Like
During your first year, you will be expected to develop a strong understanding of our systems, processes, software, documentation requirements, and the fundamentals of commercial HVAC/TAB projects.
Over time, you will be given opportunities to:
- Manage projects or portions of projects
- Work directly with customers and contractors
- Coordinate field personnel
- Take ownership of project schedules and deliverables
- Develop technical HVAC knowledge
- Learn project financials and job costing
- Participate in project planning
- Lead processes and improve internal systems
- Mentor newer employees
- Move into project management or leadership
We will invest in you if you invest in yourself.
Compensation & Career Opportunity
Starting Salary: Approximately $50,000 annually
This is an entry-level starting point with significant opportunity for advancement and increased compensation as responsibilities, technical knowledge, and leadership capabilities grow.
NABCO is looking for someone who wants to build a career with the company for the long term.
We would much rather hire a motivated individual with the right attitude and develop them into a highly capable project professional than hire someone who is simply looking for their next job.
Who Will Thrive in This Position?
