Job Summary

We are seeking a highly motivated, professional, and fully bilingual English/Spanish Receptionist and Administrative Assistant to join our fast-paced immigration office. The ideal candidate must be organized, detail-oriented, dependable, and able to follow instructions accurately. Full training will be provided, but the candidate must be willing to learn, work efficiently, and adapt quickly.

Job Responsibilities

Answer incoming telephone calls professionally
Assist new and existing clients
Schedule and confirm consultations
Greet clients and visitors
Scan, upload, label, and organize documents
Monitor and respond to emails
Prepare forms and client paperwork
Assist with electronic filing and E-Filing
Enter and update client information accurately
Follow office procedures and attorney instructions
Maintain organized digital and physical files
Provide excellent customer service
Communicate effectively with clients and team members
Assist attorneys and legal staff with administrative duties
Perform other office tasks as assigned

Ideal Candidate

The ideal candidate is organized, responsible, attentive to detail, communicates well, follows instructions, works well with others, learns quickly, and remains professional under pressure.

Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette.
Handle multi-line phone systems efficiently, ensuring all calls are answered promptly and routed correctly.
Perform data entry tasks accurately using Microsoft Office applications, Google Workspace, and QuickBooks for bookkeeping and record keeping.
Maintain organized filing systems, both physical and digital, ensuring confidentiality of sensitive information at all times.
Assist with calendar management, scheduling appointments, meetings, and coordinating personal assistant tasks as needed.
Support office management activities by ordering supplies, managing inventory, and overseeing general administrative procedures.
Provide excellent customer service by responding to client inquiries via phone or email and supporting client communication efforts.

Preferred Qualifications

Previous receptionist, administrative assistant, or law-office experience
Immigration law experience is a plus but not required
Experience with electronic filing systems
Experience using Microsoft Office, Google Workspace, Adobe Acrobat, scanners, and email systems
