Full Job Description

We are seeking a professional, organized, and customer-focused Receptionist/Administrative Assistant to join our growing tax and accounting firm. This position serves as the first point of contact for our clients while providing administrative and bookkeeping support to our team.

The ideal candidate is friendly, detail-oriented, and able to manage multiple priorities in a fast-paced office. Experience with QuickBooks, bookkeeping, payroll, and working in a professional office environment is highly preferred. During tax season, the ability to remain organized and provide outstanding client service is essential.

Responsibilities

Greet clients and visitors in a professional and welcoming manner.
Answer and manage a multi-line phone system, direct calls, and assist clients with general inquiries.
Schedule client appointments and maintain staff calendars.
Collect, organize, and securely manage client tax documents.
Prepare client files and assist with administrative tasks related to tax preparation and accounting services.
Perform accurate data entry and maintain confidential client records.
Assist with bookkeeping functions using QuickBooks, including accounts payable, accounts receivable, bank reconciliations, and payroll processing.
Process incoming and outgoing mail, email correspondence, and electronic document management.
Prepare letters, engagement documents, and other client communications.
Maintain office supplies, organize files, and support daily office operations.
Provide administrative support to accountants and tax professionals as needed.
Ensure all client information is handled with the highest level of confidentiality and professionalism.

Qualifications

Minimum of 3 years of receptionist, administrative assistant, or office administration experience.
QuickBooks experience is .
Experience with bookkeeping and payroll processing is required.
Previous experience in a CPA firm, tax office, bookkeeping firm, or other financial services environment is strongly preferred.
Proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace.
Strong organizational, multitasking, and time management skills.
Excellent verbal and written communication skills.
Professional phone etiquette and outstanding customer service skills.
High level of accuracy and attention to detail.
Ability to work independently while also collaborating with a team.
Bilingual (English/Spanish) is a plus but not required.
