Job Overview

We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This role is vital in maintaining efficient workflows, supporting staff, and providing exceptional customer service. The ideal candidate will bring a proactive attitude, excellent organizational skills, and technical proficiency to foster a productive and welcoming workplace. As an Office Manager, you will be the backbone of our administrative team, managing a variety of tasks that keep our office running seamlessly.

Responsibilities

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
Oversee office supplies inventory, procurement, and filing systems to ensure operational efficiency
Coordinate calendar management and scheduling for meetings, appointments, and events using productivity software and Google Workspace tools
Perform data entry, maintain accurate records, and assist with bookkeeping using QuickBooks or similar accounting software
Provide administrative support such as proofreading documents, managing correspondence, and handling clerical tasks with attention to detail
Support customer service efforts by addressing inquiries promptly and providing support via phone or in person
Maintain office organization through filing systems, document management, and ensuring compliance with company policies

Proven experience in office management or administrative roles with a strong background in clerical work and customer support
Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Familiarity with bookkeeping software such as QuickBooks and basic data entry skills
Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
Strong organizational skills with the ability to prioritize tasks efficiently while managing multiple responsibilities
Previous experience as very helpful but will train
