Full Job Description

Hatfield and Company, Inc. is seeking to fill an Accounts Receivable Clerk position in our Corporate office in Rockwall, TX. For over 60 years, Hatfield and Company has been a distributor and manufacturer’s representative of leading technical products and solutions that help our customers improve efficiency and process quality.

Description: Responsible for performing collection activities associated with various past due customer accounts. Reviews accounts receivable aging and utilizes various techniques and experience to promptly collect on past due accounts. Evaluates and makes credit decisions for current and potential customers. Ensures the Company’s professional image is maintained.

Responsibilities:

Reviews accounts receivable aging and follows up on past due accounts by telephone, email and other correspondence to ensure payment of past due invoices
Communicates with customers and problem solves as to why invoices are not being paid. Takes action on the information gathered to successfully clear any hurdles to obtaining payment from customers
Utilizes effective human relations skills and various forms of persuasion to obtain payment on invoices
Organizes and keeps accurate up to date activity notes to keep up with payment status and follows up in an appropriate time frame
Documents all collection actions taken, including telephone conversations, and email correspondence
Recommends accounts for credit hold and further credit action
Evaluates and makes credit decisions for customers on open terms
Update accounts receivable ledger for payments received
Process credit card payments via internet interface
Communicate with co-workers and management
Complete other duties as assigned

Skills & Abilities:

3 Yrs of Accounts Receivable experience a must
Accuracy and thoroughness in work
Excellent communication, telephone and written
Ability to work well independently

Dutie(s):

Reconciling the accounts receivable ledger
Generating financial statements and A/R reports
Developing, implementing, and maintaining A/R accounting policies and procedures
Responding to customer questions and resolving issues
Treasury functions such as bank deposits, manual wire payments, and credit card transactions
Posting payments to the general ledger and conducting daily cash reconciliation
Analyzing customer payment plan, payment history, and credit line
Collecting customer payments in accordance with payment due dates
Making collection calls on outstanding accounts
