Administrative & Bookkeeping Assistant

Location: Canadian, Texas
Schedule: Part-Time | 25–30 Hours per Week
Compensation: Based on Experience

Position Overview

We are seeking a dependable, organized, and detail-oriented Administrative & Bookkeeping Assistant to support the day-to-day office and financial operations of our growing company.

This position is ideal for someone who enjoys working with numbers, keeping records organized, managing multiple priorities, and helping a business stay on track behind the scenes. The right candidate will have previous bookkeeping, accounting, or office management experience and be comfortable working independently.

Primary ResponsibilitiesBookkeeping & Accounting Support

Enter and categorize income and expenses
Maintain accurate financial records
Assist with accounts payable and accounts receivable
Prepare and send customer invoices
Track outstanding invoices and assist with payment follow-up
Reconcile bank and credit card accounts
Maintain vendor and customer records
Organize receipts, statements, and supporting documentation
Assist with payroll records and payroll-related documentation
Help prepare financial information for management and the company's accountant/CPA
Maintain organized records for tax, insurance, and compliance purposes

Administrative Support

Answer and route phone calls and emails
Maintain organized digital and physical filing systems
Prepare documents, reports, spreadsheets, and correspondence
Assist with customer and vendor communication
Maintain company records and documentation
Assist with scheduling and general office coordination
Track paperwork, deadlines, renewals, and other administrative requirements
Provide additional administrative support as needed

Qualifications

Preferred candidates will have:

Previous bookkeeping, accounting, or administrative experience
Experience with QuickBooks or similar accounting software
Strong Microsoft Excel and/or Google Sheets skills
Excellent organizational and recordkeeping abilities
Strong attention to detail and accuracy
Professional written and verbal communication skills
Ability to prioritize responsibilities and meet deadlines
Ability to work independently and take initiative
Experience handling confidential financial and employee information
A dependable and professional work ethic

Experience working with a small business, construction, utility, service, or contracting company is a plus but not required.

Schedule

This is a part-time position averaging approximately 25–30 hours per week. Specific days and hours can be discussed based on the needs of the company and the successful candidate.

The position is located in Canadian, Texas.

Compensation

Pay will be based on experience, particularly bookkeeping/accounting experience, QuickBooks proficiency, and the candidate's ability to independently manage administrative and financial responsibilities.
