Office Hours: *Up to 15 hours per week
*Flexible schedule between Monday–Friday, 9 AM–5 PM, with occasional evenings/weekends as needed.
Work Location: Startup Waco located at 605 Austin Avenue Occasional remote work will be allowed with pre-approval from the board chair.

Summary/Objective:The Hispanic Leaders’ Network is seeking a dynamic and motivated Communications and Events Coordinator. This role is pivotal in supporting the organization's communications, administrative functions, and assisting in the coordination of various HLN events. The Communications and Events Coordinator will use their creative skills in graphic designs and various online platforms to ensure an accurate and engaging presence through effective social media management and website updates. You will work closely with HLN’s board chair, board members, and HLN’s committee co-chairs to ensure efficient and timely operations and successful implementation of various communication strategies.
Required Education, Licenses, Certification and Experience:
- High School Diploma or GED
- College degree in relevant field of work (preferred)
- Previous experience serving in administrative and similar roles
- Previous experience in social media management and website maintenance (WIX experience preferred)
- Bilingual - Proficient to speak and write in English and Spanish (preferred)
- Valid Texas Drivers License
- Proof of Personal Auto Liability Insurance

Knowledge, Skills, and Abilities:
- Ability to embrace and support HLN’s core values, vision, mission, and strategic goals

- Ability to type a minimum of 55 words per minute with accuracy
- Excellent written communication skills with minimal errors (use of AI writing software allowed)
- Proficiency in using Canva and the ability to create attractive and engaging content.
- Ability to prepare electronic newsletters
- Proficiency in using Microsoft Office, Google Workspace, social media platforms (Facebook, Eventbrite, Instagram, X, Tiktok, LinkedIn), and basic website content management systems (WIX experience preferred).
- Ability to use AI generated software to perfect written communications and graphic designs
- Ability to multitask, organize, prioritize, and work independently with minimal supervision.
- Ability to maintain accurate records
- Ability to drive a personal vehicle for business purposes
Major Duties and Responsibilities:
- Creates, schedules, and publishes engaging content regarding HLN events, special announcements, and resources across multiple social media platforms including but not limited to: Facebook, Eventbrite, Instagram, X, TikTok, and LinkedIn
- Monitors social media accounts, responding to inquiries and interacting with the community.
- Tracks social media performance and generate monthly reports on engagement and follower growth.
- Sends email campaigns through Eventbrite , GiveButter, or similar platforms
- Maintains and updates HLN's website, ensuring information about events, resources, and announcements are accurate and up-to-date in a timely manner.
- Uploads new content, including events, announcements, and resources, to keep the community informed.
- Monitors website analytics to enhance user experience and reach.
- Prepares and distributes various communication materials (emails, newsletters) to HLN board of directors, members, and the community.
- At the request of the board chair, attends community events to represent Hispanic Leaders’ Network and to promote HLN events, and solicit sponsorships.
- Prepares, distributes, and delivers key information regarding events, meetings, and HLN initiatives in-person and online.
- Submits upcoming HLN Event to various community events calendars and Waco Tribune Announcement Section.
- Assists the Board Chair in scheduling meetings, preparing agendas, and coordinating logistics for various events.
- Handles day-to-day office tasks such as answering phones, responding to emails, and organizing files.
- Manages the organization’s membership and volunteer database and update records / contact information as needed.
- Prepares and sends invoices to HLN sponsors
- Receives sponsorship funds and prepare for bank deposits as needed.
- Pays vendors with HLN debit card or check as needed
- Orders supplies, materials, equipment, and catering services for various HLN meeting and/or events
- Carryouts planning and logistics necessary to ensure well organized and successful HLN meetings and events.
- Solicits necessary quotes / bids for catering and decorating services as requested.
- Assists with set up for HLN meetings and events.
- Recruits volunteers for various HLN events
- Serves as the main point of contact for event volunteers as needed
- Performs *other duties as assigned and as needed to help driver our vision, fulfill our mission, and abide by our organization’s values.

The role of a Communications and Events Coordinator often requires the ability to work effectively in a moderate to fast-paced environment. This environment typically involves frequent activities, interactions, and tasks that must be completed within specified timeframes. Additionally, interruptions and unexpected events may occur, which can require flexibility and adaptability while maintaining a professional and courteous demeanor.
The physical demands described here are representative of those that must be met by the Communications and Events Coordinator to perform the essential functions of this job successfully. The employee frequently sits and/or stands. The employee may occasionally climb, balance, stoop, kneel, crouch, crawl, lift, and/or move up to 35 pounds. The employee will constantly use their fingers, hands, wrists, elbows, and any necessary upper extremities to do so. Employees may occasionally have to twist, pull, or stretch. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust the focus with or without using prescribed or over-the-counter optical glasses, contact lenses, or other visual aids. The Communications and Events Coordinator may be exposed to various (fair to extreme) weather conditions.
