About Us
Kingsley Clinic is a growing telemedicine medical practice providing high-quality, convenient care to patients across multiple states. We are looking for an experienced, highly organized, patient-focused team member to help manage new patient leads, improve patient conversion, support onboarding, and help patients stay engaged in their care.
This is not a basic scheduling or receptionist role. We are looking for someone who is excellent on the phone, comfortable with consistent follow-up, highly organized, and motivated by helping patients take the next step in their care. The initial focus of this role will include supporting new patient growth for our weight loss program, but the position may also support other patient growth initiatives, service lines, and reactivation campaigns over time.

Position Summary
The Patient Growth & Success Coordinator will help manage new patient leads from first contact through scheduling, onboarding, and ongoing engagement. This person will contact interested patients, explain non-clinical program details, schedule visits, help patients complete onboarding steps, follow up on missed payments, reach out to patients who are overdue for visits, coordinate fulfillment of our doctors’ Treatment plans, and help reduce patient drop-off.

This role is ideal for someone with experience in healthcare customer service, patient coordination, telemedicine, treatment coordination, inside sales, customer success, medical weight loss, aesthetics, med spa, wellness, or cash-pay healthcare.

Key Responsibilities

Contact new patient leads by phone, text, and email in a timely and professional manner.
Help convert interested leads into scheduled new patient visits.
Explain non-clinical details of practice programs and services using approved scripts and workflows.
Help new patients complete onboarding steps, including forms, scheduling, payment setup, and next-step instructions.
Follow up with leads who do not respond or who do not schedule right away.
Track lead status, patient status, and follow-up activity in the practice’s systems.
Reach out to patients who are overdue for visits or need help getting back on track.
Support patient reactivation campaigns and service-line growth campaigns.
Help patients schedule follow-up visits when needed.
Follow up on missed or failed payments according to practice workflows.
Identify patients who may be at risk of dropping off and help reconnect them with the practice.
Escalate clinical questions, medication questions, refill concerns, or medical issues to the appropriate clinical team member.
Maintain accurate documentation of patient communication.
Provide a warm, professional, trustworthy patient experience.

What We Are Looking For
The right person is proactive, organized, confident on the phone, and comfortable following up consistently. You should be able to balance friendliness with persistence and be comfortable helping patients move from interest to action.

Required Qualifications

3+ years of experience in healthcare customer service, patient coordination, medical scheduling, treatment coordination, telehealth operations, inside sales, or customer success.
Excellent phone, text, and email communication skills.
Strong attention to detail and follow-through.
Highly Productive when working remotely.
Able to manage multiple leads and patients at different stages of the process.
Comfortable discussing scheduling, pricing, payment setup, missed payments, and next steps with patients.
Able to follow scripts, workflows, and documentation requirements carefully.
Must live in Texas.
Must have a reliable computer, high-speed internet, and a quiet private workspace.

Preferred Qualifications

Experience in medical weight loss, med spa, aesthetics, dermatology, wellness, dental, orthodontics, or cash-pay healthcare.
Experience converting leads into scheduled consultations, appointments, or enrolled patients.
Experience with CRM systems, EHR systems, online scheduling tools, or patient communication platforms.

Compensation
This position includes a strong hourly base

Base Pay: $23–$25/hour, depending on experience and will step up by $1/hr at 3 month review and 9 month review.
Expected total compensation for strong performance: $52,000

This is a full-time remote position, Monday through Friday. Some flexibility may be needed to follow up with leads and patients during high-response times.
