Full Job Description

Position Summary:

We are a busy private surgical practice seeking a professional, friendly, and empathetic Front Office Medical Coordinator to join our team. The ideal candidate will have strong front office experience, excellent multitasking abilities, and a background in insurance verification, prior authorizations, patient scheduling, payment collection, and accounts receivable. Experience in a surgical clinic is a significant plus.

This role is essential in creating a welcoming and efficient environment for our patients while ensuring the smooth day-to-day operations of our front office.

Key Responsibilities:

Schedule patient appointments accurately and efficiently
Verify insurance benefits and obtain necessary prior authorizations for procedures, imaging, and medications
Collect co-pays, deductibles, and outstanding balances at time of service
Process patient payments and maintain accurate financial records
Manage accounts receivable, including follow-up on unpaid claims and outstanding balances
Coordinate with clinical and surgical staff to ensure proper patient flow and communication
Maintain accurate patient records, including demographic and insurance information
May eventually assist with surgical scheduling and pre-operative coordination
Handle high call volumes, patient check-ins, and check-outs simultaneously with professionalism and calm
Ensure compliance with HIPAA and all confidentiality standards
Provide a warm and professional first impression for patients and visitors

Qualifications:

2+ years of experience in a medical front office role, preferably in a private practice setting
Solid knowledge of insurance plans, billing, and prior authorization processes
Experience with electronic medical records (EMR/EHR) systems, AdvancedMD is a plus
Previous exposure to surgical clinics or surgical scheduling is highly preferred
Exceptional multitasking skills and attention to detail
Excellent verbal and written communication skills
Demonstrated professionalism, reliability, and a team-oriented attitude
Friendly and empathetic demeanor with a passion for providing outstanding patient care

Preferred Skills:

Familiarity with CPT and ICD-10 coding (basic level)
Knowledge of Medicare, Medicaid, and commercial insurance procedures
Bilingual (English/Spanish) is a plus
