Full Job Description

Accountability Objective:

The Bookkeeper is responsible for the accurate preparation, posting, and submission of financial data into the Buffalo Yacht Club’s accounting systems. This position manages general accounting duties including general ledger (G/L) reconciliations, financial reporting, accounts receivable (A/R) control procedures, and weekly payroll processing through ADP. The Bookkeeper analyzes, formats, and reports various financial information to BYC’s external accounting firm to support the monitoring of divisional and Club-wide performance.

The role requires strong accounting and payroll support knowledge, outstanding personal ethics, excellent communication skills, analytical thinking, a process-oriented mindset, and a high level of attention to detail and confidentiality.

Key Responsibilities:

General Accounting and Financial Reporting

Administer and manage accounts receivable, including member invoicing and collections.

Perform member credit checks and set up new member accounts.

Post financial transactions into accounting software and maintain customer/vendor accounts.

Receive and post vendor invoices; perform vendor statement reconciliations and record accruals when required.

Reconcile G/L accounts monthly to ensure accuracy and completeness.

Reconcile monthly sales and use tax reporting and ensure timely submissions.

Assist in the preparation of the annual operating budget.

Assist with periodic audits, including sales, insurance, and financial audits, by providing necessary financial documentation.

Perform an initial review of customer contracts to ensure accuracy and compliance.

Prepare and post month-end journal entries both independently and at the Treasurer’s direction.

Payroll and Capital Projects

Process weekly payroll and adjustments through ADP.

Answer employee payroll inquiries and assist with maintaining payroll liabilities for state and federal compliance.

Track all capital project spending; maintain capital asset audit records; prepare project closure documents.

Operational and Administrative Support

Ensure the integrity of financial data reported to meet BYC’s standards.

Provide financial and accounting information to assist the Treasurer in monitoring Club performance.

Monitor policies and procedures to maintain compliance with BYC’s internal audit guidelines.

Review and reconcile Clubhouse and Restaurant inventory monthly, working with the General Manager and Treasurer.

Provide clerical and administrative support as needed.

Resolve outstanding accounts payable issues and escalate to the Treasurer when necessary.

Nature and Scope:

The position reports directly to the General Manager / Finance Manager. The Bookkeeper works closely with the General Manager, the BYC Treasurer, and the Board of Directors, providing timely and accurate financial communication for both the Buffalo, NY and Point Abino, ON operations.

Background and Skills Requirements:

Associate’s degree in accounting, finance or equivalent work experience. Bachelor’s Degree a plus.

2–4 years of accounting experience in a similar role.

Strong understanding of accounting concepts, GAAP principles, and financial reporting practices.

Analytical skills and a process-oriented mindset with the ability to apply accounting knowledge to business operations.

Superior mathematical skills and financial acumen.

Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook).

Skilled at working with accounting and payroll software platforms (experience with ADP strongly preferred).

Strong organizational skills with the ability to manage multiple priorities independently.

High attention to detail and strong time management skills.

Ability to foster teamwork, including in a remote work environment if necessary.

High level of confidentiality, professionalism, and integrity.

Strong written and verbal communication skills.

Flexibility to work beyond normal business hours when necessary.

Ability to maintain a professional and calm demeanor under pressure.

This role requires maintaining high ethical standards and building strong relationships with members and staff. Flexibility in handling a variety of responsibilities is essential.
