Position Overview

Hiller Comerford is seeking an experienced and highly organized Executive Assistant to provide direct support to the firm's Managing Partners and leadership team. This is a high-trust position requiring exceptional professionalism, discretion, and attention to detail.

The ideal candidate will be proactive, resourceful, and capable of managing competing priorities while serving as a key support partner to firm leadership. This role is responsible for helping maximize efficiency, managing communications, coordinating schedules and projects, and ensuring important priorities remain organized and on track.

Essential Duties and Responsibilities

Manage complex calendars, appointments, and scheduling for the Managing Partners.
Serve as a primary point of contact by screening and prioritizing calls, emails, and requests.
Monitor partner email inboxes, including organizing correspondence, drafting responses, flagging action items, and ensuring timely follow-up.
Prepare, proofread, and format correspondence, reports, presentations, and other business documents.
Coordinate travel arrangements, conferences, continuing legal education (CLE) events, and other professional engagements.
Prepare meeting agendas, gather supporting materials, take notes, and track follow-up action items.
Assist with compiling agendas and materials for leadership meetings and weekly firm meetings.
Maintain confidential personnel, client, financial, and firm information with the highest level of discretion.
Coordinate projects and initiatives requiring partner review, approval, or involvement.
Track expenses, assist with invoice management, and support budget-related administrative tasks.
Organize and maintain files, contracts, records, and other executive-level documents.
Anticipate leadership needs and proactively resolve administrative challenges.
Represent firm leadership professionally when interacting with clients, attorneys, vendors, community organizations, and staff.
Support special projects and other duties as assigned.

Qualifications

Required

Exceptional command of the English language, including strong English composition, grammar, spelling, proofreading, and professional business writing skills.
Ability to draft, edit, and proofread correspondence, reports, and communications with a high degree of accuracy and professionalism.
Strong organizational, time management, and multitasking abilities.
Ability to handle sensitive and confidential information with professionalism and discretion.
Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
Strong problem-solving skills and the ability to work independently.
Professional demeanor and customer-service mindset.
Bachelor's degree

Preferred

Prior experience supporting attorneys, executives, or senior leadership.
Experience working in a law firm or other professional services environment.
Familiarity with legal software, document management systems, or case management platforms.

Compensation

Starting at $26.00 per hour, with higher compensation available based on experience, qualifications, and demonstrated executive support expertise.
