Full Job Description

Patient Care Coordinator / Receptionist - Part-Time (7 AM-1 PM)

Equilibrium Physical Therapy is a boutique private outpatient physical therapy practice located on the Upper East Side of Manhattan. We are seeking a positive, highly organized, and proactive Patient Care Coordinator / Receptionist to join our growing team and help deliver the high-touch, concierge-style experience that defines our practice.

As one of the primary faces and voices of Equilibrium Physical Therapy, you will play an important role in patient communication, scheduling, new patient coordination, front-desk operations, and the overall patient experience.

We are looking for someone who is warm, polished, dependable, detail-oriented, and comfortable balancing multiple priorities in a fast-paced healthcare environment.

Primary Responsibilities

Patient Care & Front Desk Operations

Greet, check in, and assist patients while maintaining a warm and professional front-desk experience
Manage inbound phone calls and emails, answer patient questions, and direct more complex inquiries to the appropriate team member
Schedule, reschedule, and cancel appointments while helping optimize provider availability and clinic flow
Contact late and no-show patients and communicate cancellation policies clearly
Maintain a strong understanding of our clinicians, services, programs, and practice model in order to communicate confidently with patients

New Patient Coordination & Practice Representation

Conduct new patient intakes and ensure all required information and documentation are collected accurately
Collect and upload patient paperwork, prescriptions, insurance cards, and other relevant documents into the EMR
Educate prospective patients on our services, clinicians, care model, pricing structure, and what differentiates Equilibrium Physical Therapy
Support the conversion of prospective patient inquiries into scheduled visits
Maintain call logs and document important patient interactions for follow-up

Administrative & Clinic Support

Collect and accurately post patient payments and maintain daily cash receipt records
Provide general guidance on billing questions and direct more complex concerns to the appropriate team member
Support opening and closing procedures and general front-desk administrative tasks
Maintain a clean, organized, and professional front desk and waiting area
Assist with laundry, clinic tidying, office supplies, and other tasks that support smooth daily operations
Communicate important patient, scheduling, facility, or operational issues to management and the clinical team

Required Skills & Qualifications

A consistently positive attitude and genuine appreciation for teamwork are essential. The ideal candidate is professional, dependable, highly organized, and comfortable taking initiative in a dynamic healthcare environment.

Excellent verbal and written communication skills are required, along with strong interpersonal skills and the ability to create positive relationships with patients and team members.

The ideal candidate will also demonstrate:

Exceptional customer service and communication skills
Strong organizational skills and attention to detail
The ability to multitask and solve problems in real time
Confidence communicating with patients by phone, email, and in person
The ability to remain productive and proactive during both busy periods and downtime
Strong computer skills and the ability to quickly learn new software and systems
Professionalism when handling sensitive patient, financial, and administrative information
A collaborative mindset and willingness to support both administrative and clinical teams

Previous experience in a medical office, physical therapy practice, healthcare setting, hospitality environment, or other high-touch customer service role is preferred. Familiarity with medical insurance terminology, patient intake, scheduling, or healthcare administrative workflows is a plus.
