Market Success Coordinator

Location: Tukwila, WAEmployment Type: Full-Time, In-House Position

About the Role

As a Market Success Coordinator, you will work in-house as a central point of support for our customers and branch teams. You will help manage incoming customer orders and requests, coordinate the fulfillment of customer needs, resolve service concerns, and ensure each interaction reflects Evergreen Refreshments’ commitment to exceeding customer expectations.

This position is essential to the long-term success and profitability of our micro market and office coffee service, or OCS/pantry, accounts. Working closely with Branch Managers, Client Development Managers, warehouse teams, and other operational departments, you will help ensure customer requests are communicated clearly, completed accurately, and followed through to resolution.

The ideal candidate is customer-first, responsive, organized, and committed to finding solutions. You should be someone who takes ownership of customer needs, communicates proactively, and understands that a successful customer experience depends on both exceptional service and strong operational execution.

Although this is primarily an in-house position, the role may occasionally support customer visits, grand openings, product demonstrations, and other customer-focused initiatives.

Success in this role will be measured by customer satisfaction, response and resolution times, order accuracy, customer retention, reduced account losses, and improved account performance.

Essential Duties and Responsibilities

Additional duties may be assigned based on business needs.

Customer Orders and In-House Support

Serve as an in-house point of contact for incoming customer orders, requests, questions, and service needs.
Receive, document, and coordinate customer orders to ensure they are communicated accurately and fulfilled on time.
Work with warehouse, delivery, service, purchasing, sales, and branch teams to meet customer needs.
Track open customer requests and follow through until each item has been completed or resolved.
Communicate proactively with customers regarding order status, product availability, service updates, and next steps.
Identify urgent or time-sensitive customer needs and coordinate the appropriate internal response.
Look for opportunities to go beyond the immediate request and exceed the customer’s expectations.
Maintain accurate records of customer orders, requests, concerns, and follow-up activities.

Customer-First Service

Approach every interaction with a customer-first mindset.
Listen carefully to understand each customer’s needs, priorities, and expectations.
Take ownership of customer concerns and remain involved until an appropriate resolution has been reached.
Respond to customers with professionalism, urgency, empathy, and attention to detail.
Anticipate customer needs and proactively recommend solutions when appropriate.
Ensure customers feel informed, valued, and supported throughout each interaction.
Help create consistent service experiences that strengthen customer trust and loyalty.

Operational Excellence

Coordinate with branch and operational teams to ensure customer needs are addressed accurately and promptly.
Confirm that customers receive appropriate communication and follow-up after an order, request, or service issue has been completed.
Identify recurring customer concerns and help develop solutions that improve service quality.
Maintain clear communication between customers, branch teams, and internal departments.
Monitor outstanding customer requests and escalate items that are at risk of delay.
Support occasional field visits to evaluate account conditions, service quality, merchandising, and customer satisfaction.
Assist with grand openings, product demonstrations, account refreshes, and other customer-facing initiatives as needed.

Client Engagement and Relationship Management

Build and maintain strong customer relationships that promote satisfaction, trust, and long-term retention.
Serve as a dependable and knowledgeable resource for customers and internal branch teams.
Monitor customer feedback and proactively address concerns before they affect the relationship.
Partner with Client Development Managers and Branch Managers to identify accounts that may require additional support.
Support customer conversations regarding orders, product selection, service expectations, and improvement opportunities.
Help customers understand the services, products, resources, and solutions available to them.

Performance Optimization

Analyze customer orders, sales, spoilage, product movement, and operational data to identify trends, risks, and growth opportunities.
Help develop and implement strategies to reduce waste and improve product selection.
Recommend product changes based on customer preferences, sales performance, and account needs.
Identify opportunities to improve customer satisfaction, increase revenue, and strengthen account profitability.
Monitor the operational performance of assigned markets and pantry accounts.
Partner with branch leadership to create and follow through on account improvement plans.
Measure the results of implemented changes and adjust strategies as needed.

Qualifications

A genuine customer-first mindset and commitment to exceeding expectations.
Demonstrated experience in customer service, order management, account support, customer success, or another client-facing role.
Strong problem-solving skills and a willingness to take ownership of customer needs.
Excellent written and verbal communication skills.
Strong organizational skills and attention to detail.
Ability to manage multiple incoming orders, requests, and priorities.
Ability to coordinate effectively across multiple departments and follow requests through to completion.
Strong analytical skills with the ability to interpret sales and operational data.
Self-motivated and capable of working independently while collaborating with internal teams.
Proficiency in Microsoft Office, including Excel, Outlook, Word, and PowerPoint.
Experience in micro markets, vending, office coffee service, food service, hospitality, order fulfillment, or route-based operations is preferred but not required.
