Weekend CSR / Dispatcher – Residential HVAC

ProThermal Heating and Cooling

Location: Tulsa, OK
Job Type: Part-Time / Weekend
Schedule: Saturday & Sunday | 7AM-7PM

We’re Hiring: Weekend CSR / Dispatcher

ProThermal is looking for a high-energy, organized, customer-focused CSR/Dispatcher to join our team for weekend operations.

This is not a slow-paced receptionist job. Our phones can get busy, customers need immediate help, and our technicians depend on our dispatch team to keep the day running smoothly.

If you're confident on the phone, can stay calm under pressure, and know how to turn a service call into a booked appointment, we'd like to meet you.

What You'll Do

Book inbound calls and maintain at least a 90% Close Rate
Converting calls into bookings in Service Titan
Communicating booked call alerts in Slack with on call technicians
Calling customers to let them know the techs are on the way
Dispatching technicians to the job in ST
Rescheduling jobs and maintaining the dispatch board
Closing out the jobs with the technicians and making sure they filled out all proper forms
Conducting happy calls and asking for a 5 star review after each job
Putting in slack the outcome of each call
Doing everything possible to keep customers from cancelling a call (if they call in to cancel)
Responding to online and text message inquiries
Sending payment reminders and assisting with collections follow-ups
Following up on estimates to improve booking and close rates
Assisting with membership coordination and customer enrollments
Filling out the end of weekend report and sending it to management at the end of every weekend
Outbound at least 70 calls a day
Prepare Monday’s call board so that the handoff between the weekend and weekday shift is seamless

What We're Looking For

The ideal candidate is:

Experienced in residential HVAC, plumbing, electrical, or another home-service industry
An excellent communicator with a confident phone presence
Comfortable handling multiple phone calls and tasks at once
Highly organized and detail-oriented
Able to think quickly and make good decisions
Comfortable working in a fast-paced environment
Sales-minded and motivated by results
Reliable and punctual
Comfortable using computers and scheduling/CRM software
Available to work every weekend

HVAC Experience Is a BIG Plus

You don't need to be a technician, but you should understand the basics of residential HVAC service and be comfortable talking with homeowners about service calls, maintenance, repairs, and emergencies.

Experience with ServiceTitan is a Major Plus
