Full Job Description

Provides a variety of administrative and support services for the College of Podiatric Medicine’s enrollment strategies and pipeline development.

Knowledge, Skills and Abilities

Individuals must possess the knowledge, as well as the following skills and abilities or be

able to perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.

Knowledge:

Experience in creating schedules of activities, preferably in an academic setting.

Skills:

Good computer skills necessary to set up document formats in Word, Excel, PowerPoint, Access and any other software program required by this position.
Excellent verbal and written communication skills. Ability to effectively and professionally interact with administration, faculty, staff, students and external affiliates.
Must be able to prioritize and schedule opportunity for resolution of problems.

Abilities:

Language ability to produce clear and concise reports; reasoning ability to problem solve quickly.
Demonstrate a commitment to working in an organization that values and promotes humanism.

Required Qualifications

Education:

Associate of Arts degree and/or combined experience/education as substitute for minimum education.

Experience:

A minimum of 1-3 years administrative/clerical or equivalent experience.

Preferred Qualifications

Education:

Bachelors degree.

Experience:

3-5 years experience as an Administrative Assistant/Associate or Executive Assistant. Preference given to those who possess experience in an academic environment.
3+ years in sales and/or marketing, ideally with knowledge in social media marketing, or experience in customer service.
Although not required, bilingual abilities will be viewed favorably.

Essential Job Duties

Key Responsibilities

Provides support to the College Admissions Committee.
This includes but is not limited to scheduling meetings, managing Outlook calendars, preparing agendas and minutes, preparing scholarship recommendations for Dean’s approval based on GPA and MCAT metrics.

Key Responsibilities

Provides support to the college, faculty and administration for admissions and recruitment outreach events.
This includes providing support during scheduled interview days, ordering and preparing supplies for workshops, outreach to undergraduate institutions and secondary education institutions, scheduling of events, preparation of presentations and marketing materials, and attending outreach events to promote the College and Podiatric Medicine.

Key Responsibilities

Collaborates with CPM students and faculty to schedule and coordinate attendance for outreach and recruitment events with WesternU departments, such as Public Affairs and Marketing and the Admissions and Recruitment Office.
Provides logistical support such as room scheduling, catering and ensure AV needs are met.

Key Responsibilities

Provides assistance in the development of the College linkage programs with undergraduate institutions.
This includes but is not limited to scheduling meetings with pre-health advisors, scheduling linkage events, and providing event assistance.

Key Responsibilities

Collaborates with the WesternU Office of Academic Community Engagement and provides support to students, faculty, and external stakeholders to further College outreach to develop a pipeline for student enrollment.

Key Responsibilities

Provides assistance to prospective students inquiring about the DPM and DPM-AS programs.

Key Responsibilities

Works on special assignments and provides data as requested by the College’s Academic Administrative Team (AAT) as needed.

Key Responsibilities

Coordinates prospective student shadowing at the WesternU Heath Foot and Ankle Center and refers prospective students to approved podiatric physicians.
This includes but is not limited to scheduling, tracking and pulling data for prospective students who shadowed at WesternU Health Foot and Ankle Center, and maintaining the database of approved podiatric physicians.
