Full Job Description

Amanda Plumbing is a service and repair plumbing company serving both residential and commercial clients. Established in 1995, we are a growing, family-owned company located in Delaware, Ohio. We are seeking a dependable, professional individual to join our office team in a full-time, long-term role.

This is an excellent opportunity for someone looking for a stable career with a company they can call home for many years. Our office is fast-paced, high-volume, and often chaotic in the best way. The phones ring consistently throughout the day, schedules change quickly, emergencies arise, and priorities can shift with little notice. If you enjoy staying busy, solving problems, multitasking, and keeping things organized in a constantly changing environment, you'll likely thrive here. If you prefer a quiet office with predictable routines and downtime, this position probably isn't the right fit.

This is a full-time position, Monday through Friday, 7:30 a.m. to 4:15 p.m. Once fully trained, this individual will participate in an after-hours on-call rotation approximately one week each month to facilitate emergency service calls and other after-hours inquiries.

The Office Administrator works closely with the owners, service technicians, and other office personnel to support the daily operations of the company. The majority of this position involves answering a high volume of incoming phone calls, while also juggling scheduling, dispatch support, emails, and other administrative responsibilities. Success in this role requires someone who can remain calm under pressure, prioritize tasks, and provide outstanding customer service even during our busiest days.

We are looking for someone who is professional, dependable, takes pride in their work, and enjoys being part of a team. Because we are a small office, everyone pitches in where needed. Plumbing knowledge is not required, but a willingness to learn quickly and adapt is essential.

Duties include, but are not limited to:

Answering and directing a high volume of incoming phone calls
Scheduling service appointments
Managing email correspondence
Providing dispatch support
Delegating and coordinating work tasks
Handling inbound and outbound customer calls
Providing exceptional customer service
Organizing and maintaining office supply inventory
Responding to questions from team members
Sending and monitoring replenishment materials to vendors
Assisting with purchasing based on company needs
Collecting and filing backflow reports with the appropriate municipalities

Qualifications and Abilities:

Highly organized with exceptional attention to detail
Ability to multitask and stay organized in a fast-paced, constantly changing environment
Strong customer service skills by phone and email
Comfortable speaking with customers throughout the day
Adequate or better typing skills
Basic knowledge of Microsoft Outlook, Excel, and Word
ServiceTitan experience is a major plus
Excellent written and verbal communication skills
Strong documentation skills
Ability to work well as part of a team
Excellent organizational, planning, and time management skills
Creative problem solver with a willingness to suggest improvements
Active learner who can quickly apply new information
Strong problem sensitivity and deductive reasoning skills
