Compensation: $34,000 - $40,000 per year plus bonuses, based on experience

The Position
We are seeking a dependable, organized, and proactive Administrative Assistant to help keep our real estate office, client communications, and transaction workflows running smoothly.
This person will support the broker and real estate agents, maintain accurate records, coordinate appointments and deadlines, and serve as a professional first point of contact for clients, vendors, and office visitors.
This is an administrative position and not a commissioned sales position. A real estate license is not required.
Primary Responsibilities
- Answer incoming calls and emails, greet visitors, take accurate messages, and direct inquiries to the appropriate team member.
- Manage calendars, appointments, office task lists, reminders, and important deadlines.
- Enter and maintain accurate information in the company’s CRM, spreadsheets, contact databases, and office systems.
- Organize and maintain listing, buyer, seller, transaction, and closing files under the broker’s supervision.
- Track documents, signatures, contingencies, deadlines, follow-up items, and the status of active transactions.
- Schedule appointments, showings, inspections, appraisals, walkthroughs, closings, photography, and other real estate-related services.
- Communicate administrative updates to clients, agents, attorneys, lenders, inspectors, photographers, contractors, and other parties.
- Prepare approved property flyers, listing information packets, letters, social-media posts, and other marketing materials.
- Assist with entering and updating approved listing information, photographs, documents, and marketing content.
- Maintain confidential client, employee, and transaction information.
- Keep office records, supplies, forms, checklists, and filing systems organized.
- Help create and improve office procedures, checklists, reporting systems, and client follow-up processes.
- Support agent onboarding, meetings, training schedules, and office communications.
- Provide general administrative support to the broker and real estate team.
This position does not include negotiating real estate terms, discussing contract terms with clients, providing legal or real estate advice, or performing activities that require a real estate license unless the employee is appropriately licensed.
Qualifications
- At least one year of administrative, office, customer-service, banking, legal, real estate, or other detail-oriented work experience is preferred.
- Excellent written and verbal communication skills.
- Strong organizational skills and consistent follow-through.
- Ability to manage multiple tasks and deadlines without losing track of important details.
- Professional and friendly telephone manner.
- Comfortable making follow-up calls and communicating with clients and the public.
- Proficiency with email, calendars, Microsoft Office or Google Workspace, and basic spreadsheets.
- Ability and willingness to learn CRM, document-management, transaction-management, and real estate software.
- Good judgment when handling confidential or sensitive information.
- Ability to remain calm, professional, and productive when priorities change.
- High school diploma or equivalent required.
- Real estate office or transaction experience is helpful but not required.
- A current New York real estate license is a plus but is not required.
- Must be able to work in the Rome office Monday through Friday from 8:00 a.m. to 5:00 p.m.
- Must have a valid drivers license
