Full Job Description

Job Purpose:

This position provides high-level administrative support to the CEO/Senior Leadership Team. This position requires exceptional organizational skills, discretion, professionalism, and the ability to manage multiple priorities in a fast-paced environment while maintaining strict confidentiality.

Essential Duties and Responsibilities:

Executive Support

Provide administrative support to the CEO and Senior Leadership Team.
Schedule and coordinate complex meetings, appointments, and travel arrangements, including flights, hotels, rental vehicles, and other travel logistics.
Coordinate and manage company-sponsored events, meetings, luncheons, and catering arrangements, including logistics and support for organization-wide events such as Anchor All-Hands meetings, new team member orientations, and customer luncheons.
Manage calendars and assist with prioritizing schedules and commitments.
Provide Front Office coverage when needed.
Handle sensitive and confidential information with the highest level of discretion.
Monitor task completion and follow up on deadlines.
Demonstrate exceptional attention to detail in composing, proofreading, and formatting business communications.
Manage multiple competing priorities, deadlines, and projects effectively.
Prepare meeting materials when necessary.
Leverage emerging AI tools and technologies to identify opportunities for process improvement, enhance efficiency, and support the Senior Leadership Team's administrative and strategic initiatives.
Prepare, edit, and distribute correspondence, reports, presentations, policies, procedures, and other business documents.
Other duties may be assigned.

Qualifications & Requirements

Associate or bachelor’s degree preferred or equivalent experience.
Minimum of 3 years supporting senior leadership or executive level management.
Experience managing confidential information and executive communications.
Ability to maintain strict confidentiality and safeguard sensitive company information.
Proven ability to demonstrate efficient time management and ability to prioritize workload.
High level of discretion, professionalism, and interpersonal skills.
Advanced proficiency with Microsoft Office applications, email systems, internet-based tools, and emerging AI, specifically Microsoft Co-Pilot.
Effective written and verbal communication skills.
Strong organizational, analytical, and problem-solving skills.
Ability to interpret and apply directives, policies, procedures, and instructions.
Excellent telephone etiquette and customer service skills including the ability to:
Build rapport with company leaders, customers, and coworkers
Present information clearly and professionally
Respond effectively to questions and inquiries
Read, analyze, and interpret policies, regulations, and business documents
Create detailed reports and business correspondence
Basic mathematical skills.
Ability to consistently demonstrate Anchor’s REACH foundational values.

Relationship and Roles:

This position reports directly to the CEO, next in line is Chief Strategy Officer from the Senior Leadership Team.
This position interacts with all levels of Anchor team members, customers, vendors, and others as needed.
