Job Summary

We are seeking an energetic and highly organized Receptionist and Billing Coordinator to join our dynamic team. In this vital role, you will serve as the first point of contact for clients and visitors, ensuring a warm and professional greeting while efficiently managing front desk operations. Additionally, you will oversee billing processes, handle data entry, and support administrative functions to keep our office running smoothly. This position offers an exciting opportunity to utilize your office management skills, enhance client communication, and contribute to a positive office environment. The ideal candidate is tech-savvy, personable, and excels in multitasking with exceptional organizational skills.

Duties

Greet clients, visitors, and staff with a friendly and professional demeanor, answering multi-line phone systems with excellent phone etiquette
Manage front desk operations including answering calls, directing inquiries, and maintaining a welcoming environment
Handle billing responsibilities using AthenaOne or AthenaNet software to process payments and invoicing accurately
Perform data entry, filing, and document proofreading to ensure all records are precise and up-to-date
Assist with office management tasks such as supply inventory, mail distribution, and maintaining a clean workspace
Provide customer support by addressing client questions promptly via phone or email, ensuring high levels of customer satisfaction

Skills

Proficiency in English is a necessity. Speaking Spanish would be a plus but not necessary.
Strong office management experience with demonstrated ability to handle clerical tasks efficiently
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document creation, email correspondence, and scheduling are helpful
Exceptional organizational skills with the ability to manage multiple priorities simultaneously while maintaining attention to detail
Outstanding customer service skills with professional phone reception techniques and proper phone etiquette
Experience in front desk operations utilizing multi-line phone systems and handling client communication professionally
Ability to adapt quickly to new software tools and demonstrate strong time management skills
