Accounting & Office Coordinator

Hoaka Property Company | Entry Level | Full-Time

About the Role

Hoaka Property Company is looking for an organized, detail-oriented Accounting & Office Coordinator to join our team. This entry-level role is a blend of bookkeeping and vendor/homeowner relations — you will keep our QuickBooks records accurate while serving as a key point of contact for vendor onboarding, utility setup, and day-to-day administrative coordination. If you are someone who thrives on checklists, enjoys variety, and wants to grow in a property management environment, this role is a great fit.

Key Responsibilities

Accounting & Data Entry

Handle high-volume data entry in QuickBooks Online with accuracy and consistency — this is a core part of the role.
Enter and reconcile credit card receipts on an ongoing basis; follow up with staff to resolve missing or unclear documentation.
Process and enter vendor bills and approved invoices across multiple property accounts.
Enter and maintain recurring monthly charges including services, subscriptions, and utilities.
Set up and update payment details for auto-pay accounts; ensure records stay current.
Monitor utility and expense activity across properties
Perform periodic account reconciliations

Vendor & Homeowner Onboarding

Collect and organize vendor documentation
Provide homeowner onboarding forms, collect required information, and submit to utility companies.
Set up utility and internet accounts
Coordinate service and vendor transfers

Vendor Relation Management

Notify existing vendors when services are being transitioned to a new provider.
Track vendor Certification of Insurance (COI) forms
Communicate vendor rate changes to affected homeowners.
Help coordinate gas provider changes when needed.

Office

Handle daily correspondence on certain designated days of the week
Procuring, sourcing and ordering of team supplies

Qualifications

High school diploma or equivalent required; associate’s degree in accounting, business, or related field preferred.
Prior experience in bookkeeping, accounts payable, or administrative coordination is a plus but not required.
Comfortable learning new software quickly; experience with QuickBooks Online is a bonus.
Strong attention to detail and ability to track multiple deadlines at once.
Clear, professional communication skills — phone and email.
Proactive and self-motivated: you follow up without being asked.
Must pass a background check
Valid driver’s license required

Schedule & Compensation:

Full-time, Monday-Friday
$25-$30/hr, depending on experience. Potential for raise after 90 days of successful employment, pending performance evaluation.
