Part-Time QuickBooks Online Bookkeeper

Umbrella Security Systems | Naperville, IL
15–20 hours per week | $30–$35/hour

The Role

Umbrella Security Systems is looking for an experienced part-time bookkeeper to own our day-to-day QuickBooks Online bookkeeping, accounts receivable and accounts payable.

We are a commercial security systems integrator working on installation projects, service work and recurring service/software agreements. Our bookkeeping includes project invoices, customer deposits, recurring billing, vendor purchases and active collection of outstanding customer balances.

This is not primarily a data-entry position. We need someone who can keep the books accurate, identify problems and take ownership of A/R and A/P without constant direction.

Responsibilities

Maintain accurate records in QuickBooks Online.
Manage accounts receivable and actively follow up on past-due invoices.
Apply customer payments, credits and deposits correctly.
Prepare and send customer invoices.
Enter and manage vendor bills and approved payments.
Reconcile bank and credit-card accounts.
Investigate discrepancies, unapplied payments, duplicate entries and account issues.
Maintain organized financial documentation.
Prepare quarterly and year-end bookkeeping records for our outside accountant.
Maintain W-9 and 1099-related vendor records.
Provide management with clear visibility into outstanding receivables, upcoming obligations and bookkeeping issues.

Required Experience

3+ years of small-business bookkeeping experience.
2+ years of significant QuickBooks Online experience.
Strong accounts receivable and accounts payable experience.
Bank and credit-card reconciliation experience.
Experience managing A/R aging and customer collection follow-up.
Experience preparing records for an outside CPA/accountant.
Working knowledge of Excel or Google Sheets.
Strong accuracy, organization and follow-through.
Ability to handle confidential financial information appropriately.

Preferred

QuickBooks Online ProAdvisor certification.
Experience with a construction, electrical, low-voltage, security, service or project-based company.
Experience with deposits, project billing, recurring service agreements and job-related vendor expenses.

Schedule & Compensation

Approximately 15–20 hours per week, primarily during normal weekday business hours.

Initial hours may be somewhat higher while existing accounts and bookkeeping records are reviewed and cleaned up.

Compensation: $25–$35/hour, based on experience.

This position is based out of Umbrella Security Systems' Naperville office, with schedule and work-location flexibility based on experience and business needs.

Pay: $25.00 - $35.00 per hour
