Full Job Description

A DC-based association management company is looking for a versatile, motivated and energetic association professional with meeting management, operations, and business development experience to join our growing team!

The ideal candidate is an organized and proactive meetings professional with a proven track record of delivering multiple events from concept to completion—including conferences, workshops, trade shows, golf tournaments, and other member-facing programs—and contributing to sponsorship and exhibitor sales efforts to support event growth and engagement.

Event & Meeting Management

Support the executive team in all aspects of association management, with a primary focus on meetings and event management for assigned client associations.
Plan, coordinate, and execute in-person board meetings, committee meetings, workshops, seminars, annual conferences, expos, and special events.
Attend and provide hands-on onsite event support as required.

Event Planning & Logistics

Manage all aspects of event planning and delivery, including:

Venue sourcing, RFP development, and hotel contract negotiations
Vendor sourcing, coordination, and management
Food & beverage planning
Audio/visual coordination
Meeting room setup and logistics
Social event planning (receptions, golf tournaments, networking events, etc.)
Registration management and attendee communications
Meeting materials management (badges, lanyards, presentations, signage, etc.)
Event collateral production (programs, brochures, flyers, promotional materials)
Budget development, tracking, and reconciliation
CEU (Continuing Education Unit) administration
Post-event survey management and reporting via SurveyMonkey

Stakeholder & Partner Management

Serve as the primary liaison for speakers, sponsors, exhibitors, supporting organizations, media partners, and attendees.
Support sponsorship and exhibitor sales & fulfillment activities.

Marketing & Communications

Manage event websites, event calendars, and mobile event applications.
Create, schedule, and distribute event email campaigns using MailChimp and Constant Contact.
Contribute to the development of event marketing materials, including brochures, advertisements, and promotional campaigns.
Support email marketing initiatives to promote membership, conferences, and association programs.

Digital & Administrative Support

Update and maintain client WordPress websites and mobile applications.
Assist with printing, shipping, and mailing services.
Coordinate multiple special projects and assignments as needed.
Provide cross-functional support to other departments as required.

Required Qualifications

Bachelor’s degree in Business, Marketing, or a related field.
Minimum of 3 years of experience in event management
Minimum of 2 years of experience in marketing and/or exhibitor sales.
Strong communication skills, both written and verbal, and interpersonal skills.
Strong customer service orientation and commitment to company’s “Members Come First” motto.
Ability to plan, organize and prioritize work effectively yet remain flexible in order to adapt to changes in work environment.
Excellent time-management, prioritizing, problem prevention and problem-solving skills.
Ability to maintain confidentiality of sensitive information.
Ability to handle multiple assignments and projects simultaneously and work independently as well as a collaborative environment across internal departments in a fast-paced environment.
Willingness to work across internal departments is a must. Work as a team toward achieving individual, company’s, and client’ annual business plan and budget goals.
Ability to travel up to 10% of the time per year.
Motivation to succeed, outgoing and friendly personality.

Required Technical Skills

Demonstrated proficiency with email marketing software (MailChimp, Constant Contact, etc.).
Demonstrated proficiency with WordPress-based websites.
Some proficiency with webinar management platforms (Zoom/Teams) and event registration systems.
Basic graphic design skills (Canva or Adobe Creative Suite).
Basic knowledge of CRM and membership database (iMIS, YourMembership, etc.).
Basic knowledge of YouTube, Vimeo, SurveyMonkey, Doodle Poll, Asana, and Slack.

Preferred

Experience working for associations and/or association management companies
CMP or PMP certification
