Part- time Administrative & Office Support Assistant

Position Summary

Palmer Staffing has a DC client seeking a reliable, organized, and detail-oriented Temporary Administrative & Office Support Assistant to provide general administrative and operational support to the organization. This position will assist with day-to-day office activities, including mail processing, check receipt and logging, document scanning and distribution, office supply and inventory management, storage room organization, shipping, and basic credit card reconciliation support.

The ideal candidate is dependable, well-organized, comfortable handling confidential information, and able to work independently while maintaining accuracy and attention to detail.

Status: 3-days in office

Salary: $25.00 - $30.00 hourly

Essential Duties and Responsibilities

Mail and Document Processing

Receive, sort, and distribute incoming mail.
Open and review general organizational mail as authorized and route it to the appropriate staff member.
Scan documents and electronically forward them to the appropriate staff members.

Check Receipt and Logging

Receive checks delivered to the office.
Accurately record checks received in the designated check log.
Scan or make copies of checks and related documentation as required.
Forward check information and supporting documentation to the appropriate Finance staff member.

Office Supplies and Inventory

Monitor office supply levels and maintain an organized inventory of supplies.
Identify supplies that need to be replenished and communicate purchasing needs to the appropriate staff member.
Receive and organize office supply deliveries.
Maintain orderly and accessible supply areas.

Storage Room and Office Organization

Organize and maintain the office storage room.
Review stored materials and work with appropriate staff to identify items that should be retained, relocated, archived, or disposed of.
Maintain an organized inventory of materials and equipment kept in storage.

Shipping and Receiving

Receive incoming packages and route them to the appropriate staff members.
Prepare materials and packages for shipment as needed.
Coordinate routine shipping through appropriate carriers and maintain shipping documentation when necessary.

CEO Business Travel Credit Card Reconciliation

Assist with the monthly reconciliation of the CEO's business travel credit card.
Collect and organize receipts and supporting documentation for business travel expenses.
Match receipts and documentation to credit card transactions.
Identify missing receipts or documentation and follow up as appropriate.
Organize completed reconciliation documentation for review by Finance.

Additional Administrative Support

Assist with filing, scanning, copying, and other general administrative duties.
Maintain & organize electronic and paper records as needed.
Send polls to various committees and groups to determine availability for meetings.
Schedule meetings on Zoom and invite attendees.
Take notes and minutes at various Zoom meetings
Perform other related duties as assigned.

Qualifications

Previous administrative, office support, or similar experience preferred.
Strong organizational skills and attention to detail.
Ability to handle confidential and financial information appropriately.
Basic proficiency with Microsoft Outlook, Word, Excel, and Adobe Acrobat or similar PDF/scanning software.
Ability to accurately maintain logs, records, and supporting documentation.
Ability to prioritize assignments and work independently with limited supervision.
Strong communication and interpersonal skills.
Dependable and able to follow established office and financial procedures.
