Full Job Description

Job Title: Office Manager / Bookkeeper
Location: Metropolitan Square Building, 40th Floor
Job Type: Full-Time

Position Overview

The Office Manager is responsible for the financial and administrative management of the firm. This position oversees the firm's accounting and bookkeeping functions, cash flow, payroll, vendor relationships, banking, budgeting, financial reporting, and general office administration. Working closely with the firm's attorneys and outside CPA, the Office Manager ensures the firm's financial operations remain accurate, compliant, and efficient while continuously improving internal processes and supporting the firm's continued growth.

Key Responsibilities:

1. Bookkeeping and general ledger maintenance

2. Client trust account (IOLTA) administration and compliance

3. Accounts payable and receivable

4. Payroll and employee benefits administration

5. Bank reconciliations

6. Financial reporting and budgeting

7. Coordination with the firm's CPA for tax filings and year-end reporting

8. Case cost tracking and reimbursement

9. Vendor and office contract management

10. Human resources administration and onboarding

11. Insurance renewals (malpractice, general liability, workers' compensation, etc.)

12. Development and enforcement of office policies and procedures

Qualifications:

Required

Minimum of 5 years of experience in office management, accounting, bookkeeping, or financial administration, preferably in a law firm or other professional services environment.
Demonstrated experience managing day-to-day financial operations, including accounts payable, accounts receivable, payroll, bank reconciliations, and financial reporting.
Experience working with accounting and financial management software (e.g., QuickBooks, Clio, Sage, or similar platforms).
Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
Strong organizational skills with exceptional attention to detail and accuracy.
Ability to maintain strict confidentiality and exercise sound judgment when handling sensitive financial and personnel information.
Excellent written and verbal communication skills.
Ability to manage multiple priorities independently in a fast-paced environment.
Strong problem-solving skills and a proactive, service-oriented mindset.

Preferred

Prior experience working in a plaintiff's personal injury or civil litigation law firm.
Familiarity with legal billing, trust (IOLTA) accounting, settlement accounting, and contingency fee practices.
Experience with legal practice management software such as Needles, Filevine, Litify, Clio, or similar platforms.
Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
Experience supervising administrative personnel or managing office operations.
Human resources and benefits administration experience.
Experience preparing budgets, forecasting cash flow, and coordinating with outside CPAs and auditors.
