Job Summary

We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be energetic, detail-oriented, and proficient in managing multiple tasks efficiently. You will serve as the first point of contact for visitors and clients, while also handling essential office functions that keep our workplace running seamlessly. Your positive attitude and strong organizational skills will contribute significantly to our professional environment and client satisfaction.

Duties

Greet visitors, clients, and vendors warmly, providing excellent customer service and ensuring a positive first impression
Manage multi-line phone systems, screen calls, and direct inquiries to appropriate staff members with professionalism and courtesy
Maintain a clean, organized front desk area and ensure all reception areas are welcoming and professional
Handle data entry tasks accurately using productivity software such as Microsoft Office, Google Workspace, and spreadsheets
Schedule appointments, manage calendars, and coordinate meetings efficiently using calendar management tools
Support client communication through email correspondence, phone support, and follow-up activities using strong phone etiquette
Utilize QuickBooks for basic bookkeeping tasks such as invoicing or expense tracking when needed
Perform clerical tasks including copying, scanning, faxing documents, and maintaining accurate records
Provide general administrative support to team members to enhance overall productivity and organization

Qualifications

Proven experience in an office environment or as a front desk receptionist with strong clerical skills
Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and data entry software
Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced setting
Exceptional communication skills both verbally and in writing.
Experience managing multi-line phone systems with professional phone etiquette
Familiarity with QuickBooks or similar accounting software is preferred
Demonstrated ability to handle confidential information discreetly and maintain professionalism at all times
Previous experience in customer service or client communication roles is highly desirable
Ability to work independently while also collaborating effectively within a team environment
