Full Job Description

Luxury Custom Home Builder

We are seeking a highly organized, proactive, and professional Executive Assistant/Office Manager to support our two co-founders while overseeing the daily administrative operations of our luxury residential construction company. This individual will serve as a trusted partner to leadership and act as the central point of communication for clients, employees, architects, subcontracts, and vendors. The ideal candidate is detail-oriented, resourceful, able to manage multiple priorities, and thrives in a fast-paced environment where no two days are the same.

Key Responsibilities

Executive Support

Manage complex calendars, scheduling, and appointments for two co-founders.
Prepare and send confidential email correspondence with clients, architects, subcontractors, vendors, and business partners.
Send daily morning schedule reminders and provide administrative support throughout the day
Coordinate travel arrangement, including flights and itineraries.
Attend daily and weekly meetings, take detailed meeting notes, and follow-up on action items.
Handle confidential information with professionalism and discretion.

Client & Project Support

Serve as a primary point of contact for clients and their project teams, ensuring exceptional communicatoin and customer service.
Coordinate communication between clients, architects, subcontractors, and internal staff.
Open new projects and maintain project documentation in Procore.
Assist with client contracts, permit filings, and project-releated documentation.
Maintain organized digital and physical filing system
Monitor Town of Palm Beach ARCOM and Landmarks meetings for project-related updates and approvals.

Accounting & Administrative Support

Track, organize, and code invoices for the accounting department.
Perform check runs to job sites and complete business-related errands as needed.
Answer incoming phone calls and direct inquiries appropriately.
Purchase and maintain office supplies and other administrative inventory.

Human Resources & Recruiting

Partner with Human Resources on onboarding, employee orientation, and exit interviews.
Prepare workspaces, equipment, and materials for all new hires.
Review and approve employee timesheets.
Track employee PTO, birthdays, anniversaries, and other recognized initiatives.
Post open positions on Indeed, review resumes, schedule interviews, and communicate with candidates throughout the hiring process.
Coordinate company participation in career fairs, including event logistics and recruiting materials.

Office Operations & Technology

Oversee day-to-day office operations to ensure an organized and efficient workplace.
Coordiate with IT to onboard new employees and manage company technology. Including computers, phones, iPads, softward subscriptions, and equipment inventory.
Manager relationships with office vendors and service providers.
Purchase, track, and distribute employee apparel.

Company Culture & Events

3+ years of experience as an Executive Assistant, Office Manager, or a similar administrative leadership role.
Experience supporting senior executives in a fast-paced environment.
Exceptional organizational and time-management skills with the ability to prioritize multiple projects.
Excellent written and verbal communication skills.
High level of professionalism, discretion, and confidentiality.
Strong attention to detail and follow-through.
Proficiency with Microsoft Office, Outlook, Procore (preferred), Indeed.
Experience working in the construction, architecture, or design industry.
Positive attitude, resourcefulness, and a willingness to take inititiative.

Pay: $80,000.00 - $85,000.00 per year
