Position Overview
Congregation B’nai Israel is seeking a highly reliable, detail-oriented, and proactive Facilities & Hospitality Lead to take primary responsibility for the day-to-day care, readiness, and welcoming feel of our campus. This is a hands-on, full-time position for someone who takes genuine pride in creating spaces that are safe, clean, attractive, organized, and ready for everything from an ordinary weekday to a large community gathering.
This role is not only behind the scenes, and it is not only front-facing. The right person must be equally comfortable repairing a door, moving tables, troubleshooting a maintenance issue, checking supplies, and setting up a room—as well as greeting visitors, helping a family find what they need, working with vendors, and responding calmly when something changes at the last minute.
The ideal candidate does not wait to be told what needs attention. They notice issues early, take initiative, communicate clearly, follow through completely, and understand that the condition of the building and the quality of each interaction shape how people experience our organization.
This position regularly requires some evenings and occasional weekends for services, programs, rentals, and holidays. Flexibility, reliability, and a service-oriented mindset are essential.
What Success Looks Like
- The campus is consistently clean, safe, organized, and ready before people arrive.
- Small problems are noticed and addressed before they become larger ones.
- Rooms are set accurately and reset promptly after use.
- Staff, members, guests, vendors, and renters experience a helpful, professional, and welcoming presence.
- Maintenance projects, supplies, service needs, and follow-up items are tracked and completed.
- The person in this role moves naturally between hands-on work and people-facing support without treating either as optional.
Key Responsibilities
General Facilities Stewardship
- Conduct regular, thorough walkthroughs to identify building and grounds needs before they become problems.
- Take ownership of the overall campus experience, ensuring spaces are clean, functional, welcoming, and prepared before people arrive.
- Ensure all spaces are reset, orderly, and ready for use each day and after programs or events.
- Oversee routine and preventative maintenance for building systems, including HVAC, plumbing, electrical, lighting, and basic equipment.
- Perform or coordinate minor repairs and upgrades with close attention to quality and completion.
- Maintain a weekly checklist and a clear running list of incomplete, upcoming, and long-term projects.

- Maintain restrooms with meticulous care: clean, sanitize, restock supplies, and address plumbing or supply issues promptly.
- Routinely check kitchen and storage areas for expired, improperly stored, or unnecessary items.
- Monitor inventory and independently order cleaning, maintenance, restroom, kitchen, and event supplies so operations are not interrupted.
- Keep shared storage and work areas orderly, labeled, and easy for staff to use.

- Vacuum, dust, arrange seating, and organize prayer books and other materials so spaces are ready for services and programs.
- Understand that these spaces are meaningful to the people who use them and maintain an atmosphere of dignity, calm, and welcome.
- Learn the basic rhythms of Jewish communal life and the special setup needs associated with weekly services, holidays, lifecycle events, and educational programs.
Room Setups & Event Support
- Set up and break down furniture, equipment, and supplies for services, programs, meetings, classes, rentals, and special events with accuracy and efficiency.
- Review setup information in advance and ask questions early when instructions are unclear.
- Assist with basic audiovisual setup, including microphones, cameras, screens, and sound equipment, when needed.
- Be present at the beginning of events to troubleshoot, make last-minute adjustments, and ensure hosts have what they need.
- Create a seamless experience by anticipating needs, solving problems quietly, and making sure spaces feel organized and ready.
- Remain attentive to both front-facing hospitality and behind-the-scenes operational needs throughout an event.
Hospitality & Community Presence
- Greet members, guests, contractors, delivery personnel, and vendors warmly and professionally.
- Be visible, approachable, and willing to assist while maintaining appropriate professional boundaries.
- Notice when someone needs help and offer support before being asked.

- Conduct regular safety inspections and respond promptly to hazards, damage, leaks, blocked exits, or other concerns.
- Secure gates, doors, windows, and access points at the end of each day and after evening events.
- Monitor and test fire extinguishers, emergency exits, alarm systems, and other safety equipment according to schedule.
- Serve as a primary contact on the alarm call list and respond promptly when a security or fire alarm is triggered.
- Coordinate with monitoring services, emergency responders, security personnel, and organizational leadership as needed.
- Follow established procedures for keys, access cards, door codes, and building security, and report access concerns immediately.
Vendor, Ordering & Contractor Coordination
- Serve as a primary on-site contact for contractors and service providers, including HVAC, plumbing, electrical, pest control, cleaning, landscaping, and repairs.
- Help schedule service visits, provide access, monitor work, and follow up on incomplete or unsatisfactory work.
- Order and track supplies, equipment, and materials needed for facilities operations, events, and seasonal needs, in coordination with the Executive Director as appropriate.
- Track service requests, invoices, purchase orders, warranties, and vendor communication using email and internal systems.
- Communicate clearly and regularly with staff, clergy, vendors, and event leads about building readiness, logistics, scheduling, and outstanding needs.
Planning, Communication & Follow-Through
- Use email, calendars, task lists, and internal systems as part of daily work.
- Review upcoming events and programs in advance so setup, supplies, staffing, and repair needs are identified early.
- Provide clear updates about completed work, open items, delays, vendor visits, and decisions that need leadership attention.
- Complete tasks thoroughly rather than leaving partial fixes or assuming someone else will follow up.
- Ask for clarification when needed and communicate early when a timeline, cost, or request cannot be met as expected.
Qualifications
- Three or more years of experience in facilities, custodial, maintenance, property support, event setup, hospitality operations, or a closely related role.
- Strong basic repair and troubleshooting skills, including comfort with minor plumbing, electrical, hardware, equipment, furniture, and building issues.
- Naturally proactive, organized, and attentive, with a strong sense of ownership and pride in one’s work.
- Demonstrated ability to move comfortably between physical facilities work and positive interactions with staff, members, volunteers, guests, and vendors.
- Friendly and approachable without losing focus on tasks, deadlines, and responsibilities.
- Comfortable using computers for daily work, including email, calendars, ordering systems, task tracking, and basic software tools.
- Able to read, respond to, and manage communication related to events, logistics, maintenance, ordering, and scheduling.
- Able to work independently, manage competing priorities, and complete tasks thoroughly.
- Able to lift at least 30 pounds and perform regular physical labor, including moving furniture, bending, standing, walking, and using basic tools.
- Willing to learn the rhythms, customs, and calendar of a Jewish congregation; prior knowledge is welcome but not required.
- Flexible availability, including some evenings, weekends, and additional time around major events and holidays.
- Reliable transportation and a valid driver’s license.
The Right Fit
- You see a loose handle, empty soap dispenser, crooked chair, or confused visitor—and take care of it.
- You enjoy practical problem-solving and take satisfaction in leaving a space better than you found it.
- You are comfortable being interrupted, adjusting priorities, and helping people while still completing your work.
- You communicate clearly, follow through, and do not assume that someone else will handle an issue.
- You understand that excellent facilities work is also hospitality: people feel cared for when spaces work well, and help is easy to find.
The ideal candidate understands that every interaction and every space communicates something about our organization. Their work helps ensure that people feel welcomed, cared for, and confident that the campus is in good hands.
