Facilities Manager
Reports To: General Manager
Classification: Full-Time, Exempt
Position Summary
The Facilities Manager is responsible for the operation, maintenance, repair, and long-term stewardship of Alpine Lake Property Owners Association's physical assets and infrastructure. This position provides leadership for all maintenance operations while ensuring Association facilities, roads, grounds, equipment, utilities, and recreational amenities are maintained in a safe, efficient, and professional manner.
The Facilities Manager develops preventative maintenance programs, oversees capital improvement projects, manages contractors and vendors, supervises maintenance personnel, and works closely with the General Manager to protect Association assets and improve operational efficiency.
The Facilities Manager provides administrative oversight to the Golf Course Superintendent while recognizing the Superintendent's professional responsibility for the day-to-day maintenance and agronomic management of the golf course.
Key ResponsibilitiesFacilities & Infrastructure Management
- Direct and oversee the maintenance, repair, and operation of all Association facilities.
- Oversee maintenance of the Lodge, Hotel, Boathouse, Pool, Beach facilities, Maintenance Building, Welcome Center, and all other Association-owned buildings.
- Oversee maintenance of Association roads, drainage systems, parking areas, bridges, signs, utilities, and infrastructure.
- Ensure all facilities remain safe, functional, and attractive for property owners and guests.
- Develop long-range maintenance plans for all Association assets.
Grounds & Property Maintenance
- Supervise maintenance of Association grounds, landscaping, common areas, parks, trails, lake access areas, beaches, and recreational facilities.
- Coordinate seasonal grounds maintenance activities.
- Oversee snow removal, storm response, tree removal, and emergency maintenance operations.
- Ensure the appearance of Association property meets established standards.
Golf Course Operations Support
- Provide administrative oversight and support to the Golf Course Superintendent.
- Coordinate with the Director of Golf Operations and Services and the Golf Course Superintendent to ensure maintenance activities support golf operations and Association goals.
- Review and approve maintenance-related purchasing requests, equipment needs, and capital improvement recommendations.
- Support long-range planning for golf course infrastructure, irrigation systems, maintenance equipment, and maintenance facilities.
- Ensure golf course maintenance activities are coordinated with other Association maintenance operations.
Hotel & Facility Maintenance
- Ensure hotel rooms, common areas, mechanical systems, and building infrastructure are properly maintained.
- Coordinate repairs involving HVAC, plumbing, electrical, carpentry, roofing, and other building systems.
- Develop preventative maintenance schedules for all buildings and equipment.
Preventative Maintenance & Asset Management
- Develop and maintain a comprehensive preventative maintenance program.
- Maintain an inventory of Association assets, equipment, and major building systems.
- Track equipment life cycles and recommend replacement schedules.
- Maintain warranties, maintenance records, manuals, and equipment documentation.
- Recommend capital improvements and long-term replacement planning.
- Work closely with the Asset Management Committee by providing technical expertise, supporting long-range planning, and attending committee and Board meetings as requested.
Capital Projects & Vendor Management
- Coordinate Board-approved capital improvement projects.
- Prepare project scopes and assist with bid specifications.
- Supervise contractors and vendors performing work for the Association.
- Ensure contractors complete work according to contract specifications.
- Monitor project schedules, budgets, and quality.
- Report project status to the General Manager.
Maintenance Operations
- Develop daily, weekly, monthly, and seasonal work schedules.
- Supervise Maintenance Department personnel.
- Oversee work order management.
- Monitor completion of maintenance requests.
- Develop Standard Operating Procedures (SOPs) for maintenance operations.
- Ensure preventative maintenance schedules are followed.
Fleet, Equipment & Inventory
- Oversee maintenance of Association vehicles and equipment.
- Develop replacement schedules for fleet and equipment.
- Manage maintenance inventory and purchasing.
- Maintain equipment maintenance records.
- Ensure proper storage and accountability of tools and equipment.
Safety & Regulatory Compliance
- Ensure compliance with OSHA requirements and applicable state and local regulations.
- Maintain pool certifications and regulatory compliance.
- Ensure facilities comply with applicable building codes and safety standards.
- Develop safety procedures for maintenance personnel.
- Coordinate emergency preparedness activities with the General Manager.
Security Coordination
- Coordinate with the Security Director on facilities-related security needs.
- Support security staffing and procedures as they relate to facilities and grounds.
- Work with local emergency responders when necessary.
- Recommend improvements to physical security and emergency preparedness.
Tenant & Facility Coordination
- Coordinate maintenance responsibilities related to leased Association properties.
- Work with Association tenants regarding maintenance issues covered under lease agreements.
- Ensure maintenance obligations within leased facilities are addressed promptly.
Financial Management
- Prepare the annual Maintenance Department operating budget.
- Monitor departmental expenditures.
- Recommend cost-saving opportunities.
- Prepare capital improvement budget recommendations.
- Assist with long-range capital planning.
Personnel Management
- Supervise Maintenance Department personnel.
- Provide administrative supervision and support to the Golf Course Superintendent.
- Conduct performance evaluations for direct reports.
- Recommend hiring, promotions, disciplinary actions, and staffing needs to the General Manager.
- Develop training opportunities and promote continuous improvement.
Strategic Responsibilities
- Develop long-range maintenance strategies.
- Recommend capital improvement priorities.
- Improve operational efficiency through technology and process improvements.
- Develop asset management systems.
- Identify opportunities to reduce operating costs while maintaining service quality.

The Facilities Manager is not responsible for:
- Accounting or financial reporting.
- Payroll administration.
- HOA office administration.
- Property owner collections.
- Insurance administration.
- Hotel reservations or front desk operations.
- Golf operations, golf instruction, or golf programming.
- Restaurant operations.
- Human Resources administration.
- Marketing.
- Property owner complaint resolution unrelated to facilities.
- Overall Association administration.
- Direct supervision of Security personnel.
Qualifications/Education
Associate's or Bachelor's Degree in Facilities Management, Construction Management, Engineering, Business Administration, or a related field preferred. Equivalent experience may be substituted.
Experience
- Minimum five years of facilities, operations, or maintenance management experience.
- Minimum three years of supervisory experience.
- Experience managing capital improvement projects.
- Experience with contractor management and procurement.
- Experience preparing and managing departmental budgets.
Knowledge, Skills & Abilities
- Strong leadership and supervisory skills.
- Knowledge of building systems, HVAC, plumbing, electrical, carpentry, roads, drainage, and infrastructure.
- Knowledge of preventative maintenance planning.

- Proficiency with Microsoft Office and maintenance management software.

- Evening, weekend, and emergency call-out responsibilities as needed.

- Perform other duties assigned by the General Manager that are consistent with the responsibilities of this position.
