Full Job Description

Job Overview: The Accounting Specialist is responsible for processing and maintaining accurate financial records related to customer receivables and vendor payables. This position ensures timely invoicing, collections, vendor payments, account reconciliations, and compliance with company policies and accounting procedures. The role works closely with customers, vendors, plant personnel, and management to support efficient financial operations.

Key Responsibilities:

Accounts Payable (AP)

o Review, verify, and process vendor invoices for payment.

o Match invoices to purchase orders and receive documentation.

o Ensure proper approvals are obtained prior to payment processing.

o Process weekly check runs, ACH payments, and wire transfers.

o Maintain vendor records, including W-9s, banking information, and contact details.

o Reconcile vendor statements and resolve invoice discrepancies.

o Assist with annual 1099 preparation and reporting.

o Respond to vendor inquiries regarding payment status.

o Maintain organized electronic and physical accounting records.

Accounts Receivable (AR)

o Generate and distribute customer invoices accurately and timely.

o Monitor customer accounts and ageing reports.

o Apply customer payments, including ACH, wire transfers, checks, and credit card transactions.

o Investigate and resolve payment discrepancies and customer billing issues.

o Perform collection activities on past-due accounts while maintaining positive customer relationships.

o Prepare weekly and monthly accounts receivable reports.

o Reconcile customer accounts and resolve outstanding balances.

o Assist with credit application reviews and customer credit file maintenance.

o Support month-end and year-end closing activities related to receivables.

General Accounting Responsibilities

Assist with account reconciliations and month-end close procedures.
Support annual audits and financial reviews.
Maintain confidentiality of financial and employee information.
Ensure compliance with company policies, internal controls, and accounting procedures.
Provide backup support for other accounting functions as needed.
Participate in process improvement initiatives to increase efficiency and accuracy.

Qualifications

Education

Associate degree in Accounting, Finance, Business Administration, or related field preferred.
Equivalent combination of education and experience may be considered.

Experience

Minimum 3 years of Accounts Payable and/or Accounts Receivable experience.
Manufacturing industry experience preferred.
Experience with ERP systems preferred.
Experience with electronic payment systems and ACH processing preferred.

Knowledge, Skills, and Abilities

Strong understanding of accounting principles and financial processes.
Proficiency in Microsoft Excel and Microsoft Office Suite.
Excellent organizational and time-management skills.
Strong attention to detail and accuracy.
Ability to prioritize multiple tasks and meet deadlines.
Effective verbal and written communication skills.
Ability to maintain confidentiality and exercise sound judgment.
Strong problem-solving and analytical skills.

Physical Requirements

Prolonged periods of sitting and working at a computer.
Ability to occasionally lift up to 15 pounds.
Ability to communicate effectively with employees, customers, and vendors.

Working Conditions

Office environment with occasional interaction with manufacturing personnel.
Standard business hours with occasional overtime during month-end, year-end, or audit periods.
