Full Job Description

Position Summary

The Payroll Assistant is responsible for assisting with the accurate and timely processing of weekly payroll and supporting general administrative and accounting functions. This position will serve as an important point of contact for collecting and maintaining employee timekeeping information, entering payroll data into QuickBooks Enterprise, and assisting with employee records and BambooHR.

Because payroll responsibilities will not fill a full 40-hour work week, this position will also assist with other administrative, accounting, and office duties as needed.

Primary Responsibilities

Payroll

Collect weekly timesheets from all employees and follow up on missing or incomplete timesheets.
Review timesheets for accuracy, including hours worked, overtime, PTO, holidays, and other applicable information.
Enter employee hours and other payroll information into QuickBooks Enterprise.
Process weekly payroll in QuickBooks Enterprise accurately and according to the company's payroll schedule.
Verify payroll information before finalizing and submitting payroll.
Assist with payroll-related questions and resolve discrepancies as directed.
Maintain confidentiality of payroll and employee information.
Assist with payroll reports and other payroll-related administrative tasks.

Employee Records & BambooHR

Assist with onboarding new employees in BambooHR, including entering and maintaining employee information and ensuring required documentation is completed.
Assist with employee offboarding and updating records when employees leave the company.
Help maintain accurate and up-to-date employee files.
Monitor employee records for missing or outdated information.
Assist with maintaining payroll-related employee information and documentation.
Handle employee information with discretion and maintain confidentiality at all times.

General Administrative & Accounting Support

Since payroll duties will not comprise a full 40-hour work week, this position will assist with other office and accounting responsibilities as needed, which may include:

Assisting with accounts payable and accounts receivable tasks.
Assisting with invoicing and payment processing.
Filing and maintaining company records.
Data entry and maintaining spreadsheets.
Assisting with employee benefits administration.
Preparing reports and gathering information as requested.
Providing general administrative support to the Office Manager and other departments.
Other duties as assigned.

Qualifications

Previous payroll, accounting, bookkeeping, or administrative experience preferred.
Experience with QuickBooks Enterprise is preferred.
Experience with BambooHR or another HRIS is a plus.
Strong attention to detail and accuracy.
Ability to work with confidential information professionally and discreetly.
Strong organizational and time-management skills.
Ability to meet weekly deadlines consistently.
Comfortable working independently while also knowing when to ask questions.
Good written and verbal communication skills.
Proficiency with Microsoft Office, particularly Excel and Outlook.
Ability to prioritize multiple tasks and adapt to changing needs.

Key Expectations

The successful candidate must understand that accuracy and timeliness are especially important when handling payroll. Missing timesheets, incorrect entries, or missed deadlines can directly affect employees' pay.

The Payroll Assistant should be proactive about identifying missing information, following up with department heads and employees, and bringing potential payroll issues to the Office Manager's attention before payroll is processed.

This position requires someone who is dependable, detail-oriented, organized, and comfortable taking ownership of recurring weekly responsibilities while also assisting wherever needed throughout the office.

Pay: $25.00 - $30.00 per hour
