Full Job Description

Position Summary
Our client is seeking a professional and highly organized Temporary Administrative Assistant to provide administrative support to two Vice Presidents and several Directors. This role requires a proactive individual with exceptional organizational skills, the ability to manage multiple priorities, and a high level of professionalism when handling confidential information. The ideal candidate will be detail-oriented, resourceful, and capable of working independently while supporting a fast-paced executive team.
Key Responsibilities

Provide comprehensive administrative support to two Vice Presidents and multiple Directors, ensuring efficient day-to-day operations.
Manage complex calendars by scheduling meetings, coordinating appointments, and resolving scheduling conflicts.
Coordinate internal and external meetings, including conference room reservations, virtual meeting setup, agendas, and meeting logistics.
Prepare, edit, and format correspondence, reports, presentations, spreadsheets, and other business documents.
Maintain organized electronic and physical filing systems while ensuring the confidentiality of sensitive business information.
Coordinate travel arrangements, including flights, hotels, ground transportation, and itinerary preparation, as needed.
Process expense reports and assist with purchase requisitions, invoices, or other administrative documentation.
Monitor and prioritize incoming emails, mail, and requests, ensuring timely follow-up and communication.
Serve as a liaison between executives, internal departments, and external vendors or business partners.
Assist with special projects, event coordination, and departmental initiatives as assigned.
Order office supplies and support general office operations to ensure an organized and efficient work environment.
Perform general administrative duties including copying, scanning, filing, document preparation, and data entry.

Qualifications

3+ years of administrative or executive support experience, preferably supporting senior leadership.
Strong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
Excellent organizational, time management, and multitasking skills.
Strong written and verbal communication skills with a professional demeanor.
Ability to exercise discretion and maintain confidentiality when handling sensitive information.
Highly detail-oriented with excellent problem-solving and follow-through skills.
Ability to work independently while effectively managing competing priorities in a fast-paced environment.

Preferred Qualifications

Experience supporting executive-level leadership within a corporate environment.
Experience coordinating meetings, travel arrangements, and executive calendars.
Familiarity with expense reporting systems and document management software is a plus.
