Full Job Description

Job Summary

We are seeking a highly organized and proactive Office Administrator to join our team. In this role, you will oversee daily office operations, support bookkeeping and HR functions, and help maintain a smooth and efficient workplace.

You’ll play a key role in coordinating logistics, managing invoices, supporting leadership, and ensuring all administrative processes run seamlessly. This is a great opportunity for someone who thrives in a fast-paced environment and enjoys wearing multiple hats.

Key Responsibilities

Manage bookkeeping tasks, including invoicing, expense tracking, and reconciliations
Organize and track freelance invoices and payments
Support project and installation invoicing to ensure accurate billing
Assist with HR and onboarding processes, including maintaining employee records
Provide comprehensive administrative support to leadership and team members
Coordinate logistics for projects, installations, and internal operations
Manage scheduling and calendars for leadership and staff
Handle general office operations, communications, and document management
Maintain organized filing systems and ensure efficient record-keeping
Track expenses and assist with basic budgeting
Handle and Answer phone calls

Qualifications

Proven experience in office administration, bookkeeping, or similar role
Working knowledge of QuickBooks
Familiarity with HR processes and onboarding
Strong organizational and multitasking skills
Excellent communication and professional phone etiquette
Proficiency in Google Workspace
Ability to work independently and handle confidential information

Preferred Qualifications

Experience with payroll processing
Experience coordinating logistics or project-based work
Experience supporting leadership or executives
Background in a fast-paced or small business environment
