Project Coordinator – Commercial Signage & Graphics

Port City Signs & Graphics | Wilmington, NC

Port City Signs & Graphics is seeking a Project Coordinator to support estimating, production scheduling, and installation logistics for commercial signage and wide-format graphics projects.

This position works internally with our estimating, fabrication, and installation teams to ensure project scope, timelines, and client-provided documentation are clearly organized from initial request through final installation. The role plays a key part in helping projects move efficiently between departments while maintaining accurate job records and installation schedules.

This is a full-time, in-person position within our commercial sign manufacturing facility in Wilmington, NC.

In This Role, You Will:

Respond to inbound phone and email inquiries from clients, contractors, and design teams to gather project scope information needed for estimating review
Intake project details and organize client-provided documentation to prepare jobs for estimating
Assist estimating staff by ensuring dimensional information and project specifications are recorded accurately within internal systems
Support estimating efforts by reviewing measurements, quantities, and material requirements as part of project costing
Maintain project records within our estimating and point-of-sale software
Coordinate with survey and installation scheduler to support field crews and clients
Monitor project timelines and communicate updates between estimating, production, and installation teams
Track approvals and required documentation prior to fabrication
Answer incoming calls related to new and active projects and coordinate next steps in estimating, production, or installation
Support production staff by helping ensure job specifications and installation requirements are clearly documented
Communicate with clients regarding project readiness and installation scheduling
Coordinate and track client payments

This position serves as an internal coordination point for incoming project-related phone and email communication to ensure requests are documented accurately and routed to the appropriate department for estimating, fabrication, or installation scheduling.

Qualifications:

Strong organizational and time management skills
Ability to manage multiple active projects simultaneously
Clear written and verbal communication skills
Strong arithmetic skills with the ability to interpret measurements, quantities, and dimensional information for estimating support
Comfort working with project specifications and job costing information
Experience supporting project coordination, estimating, scheduling, or production workflows
Applicable experience in signage, construction, fabrication, millwork, electrical contracting, printing, or similar project-based environments
Proficiency with Microsoft Office or similar software
Willingness to learn project costing and fabrication workflows
Professional business-casual appearance
Ability to lift up to 45 pounds occasionally when assisting with order pickup
Valid driver’s license
Ability to pass a drug test and criminal background check
