Full Job Description

Job Summary

We are seeking a proactive, detail-oriented and Bilingual Rental Assistant to join our dynamic property management team. In this vital role, you will serve as the first point of contact for prospective and current tenants, assist with lease administration, and support daily property operations. Your energetic approach will help foster positive client relationships, ensure compliance with housing regulations, and contribute to the smooth functioning of our rental processes. This position offers an exciting opportunity to grow within a fast-paced environment dedicated to excellence in property management. Job may lead to Full Time Employment. REAL ESTATE LICENSE IS A PLUS!

Responsibilities

Manage lease or rental agreement documentation, ensuring accuracy and timely processing using property management tools such as Rent Manager.
Assist prospective tenants through the leasing process, including conducting property tours, upselling rental units, and explaining lease terms clearly.
Maintain detailed records of tenant interactions, rent payments, maintenance requests, and legal documentation in compliance with Fair Housing regulations and LIHTC guidelines.
Support landlord-tenant law compliance by handling tenant inquiries, resolving conflicts professionally, and managing lease renewals or terminations.
Coordinate with property maintenance teams to ensure facilities are well-maintained and address tenant concerns promptly.
Conduct data entry, filing, and record keeping related to tenant files, contracts, and legal documents using Microsoft Office and property management software like CMMS or Landlord-tenant law databases.
Facilitate client communication via phone etiquette and customer service skills while promoting positive relationships with tenants and vendors.

Skills

Proficiency in property management software such as Rent Manager, and other property management tools.
Clear understanding of landlord-tenant law, Fair Housing regulations, Section 8 housing programs, LIHTC compliance, and legal administrative procedures.
Excellent customer service skills with the ability to handle conflict management effectively and negotiate lease terms confidently.
Experience in real estate administrative tasks including data entry, filing, contract management, and client communication.
Knowledge of property leasing processes, facilities management, budgeting basics, and property maintenance coordination.
Office experience with Microsoft Office Suite (Word, Excel) along with familiarity in using CRM systems for customer relationship management.
Ability to manage multiple priorities efficiently while maintaining professionalism through phone etiquette and upselling techniques.
