Job Overview

This opportunity is for an organized and dependable Office Assistant to support the day-to-day operations of our Beaverton Oregon office. Experience in the land surveying or engineering industry is a plus.

The role will involve supporting front-desk and administrative functions, assisting with basic bookkeeping and invoicing tasks, coordinating office supplies and vendor communication, and providing general support to the office manager and project teams. A successful candidate is detail-oriented, reliable, and comfortable juggling a variety of administrative tasks in a fast-paced environment.

The role is in full-time capacity in our Beaverton Oregon office. This is an on-site role.

Key Responsibilities

Office Administration: Greet visitors and answer incoming calls; maintain office supplies and equipment; keep filing systems, databases, and records organized and up to date.
Scheduling & Coordination: Schedule meetings and appointments; assist with coordinating crew and project schedules under direction of the Office Manager.
Correspondence: Draft and send routine emails and correspondence; sort and distribute incoming mail and packages.
Bookkeeping Support: Assist with data entry of financial transactions (sales, purchases, invoices, receipts, payments); help process invoices and purchase orders and flag billing discrepancies for follow-up.
Vendor & Client Support: Support day-to-day communication with vendors and clients; help resolve routine client questions and escalate more complex issues as needed.
Record Keeping & Compliance: Maintain accurate document retention in line with company policies and regulations.
HR & Payroll Support: Provide light support for onboarding paperwork, time-off tracking, and maintaining employee records.

Qualifications

1-3 years of experience in an office administration, front-desk, or general clerical role.
High school diploma required; some college coursework in business or related field preferred.
Excellent written and verbal communication skills in English is required for this role
Strong organizational skills, attention to detail, and the ability to prioritize multiple tasks with minimal supervision.
Basic familiarity with QuickBooks or similar accounting software is an asset.
Proficiency with Microsoft Office (Word, Excel, Outlook).
