Full Job Description

Accounts Payable & Bookkeeping Coordinator Overview

We are seeking a dependable and detail-oriented Accounts Payable & Bookkeeping Coordinator to join our Finance team. This position will manage day-to-day accounts payable and bookkeeping functions while supporting accurate financial records, vendor relationships, and month-end activities.

The ideal candidate is organized, analytical, and comfortable working independently while collaborating with vendors and internal departments.

Key Responsibilities (including but not limited to)

Process invoices, including coding, 3-way matching, entry, and approvals
Review invoices and transactions for accuracy and proper GL coding
Prepare weekly payment runs and maintain accurate payment records
Monitor AP aging and resolve vendor discrepancies, credits, and missing invoices
Reconcile bank, credit card, vendor, and general ledger accounts
Perform general bookkeeping and maintain accurate financial records
Assist with journal entries, accruals, adjustments, and month-end close
Maintain vendor records, W-9s, and support 1099 reporting
Assist with sales tax and subcontractor-related recordkeeping
Prepare AP and accounting reports as needed
Support internal and external audits
Maintain organized documentation and follow established accounting controls
Assist and support AR/Credit Manager, C-Suite team, Management, etc. as needed

Qualifications

Minimum 2 years of Accounts Payable, bookkeeping, or related accounting experience required
Working knowledge of general accounting and bookkeeping procedures
Strong attention to detail, organization, and problem-solving skills
Experience with accounting software
Ability to identify and investigate discrepancies
Professional communication skills when working with vendors and internal teams
General understanding of sales tax and subcontractor risk management
Intermediate Excel skills or willingness to learn
Ability to manage multiple priorities and meet deadlines
