Accounting & Administrative Coordinator

Full-Time | On-Site | Corona, CA

About the Position

We are looking for a versatile, dependable, and detail-oriented Accounting & Administrative Coordinator to join our team. This position is ideal for someone with solid accounting experience who enjoys having a variety of responsibilities and being an integral part of the overall office.

The primary focus of this position will be accounts payable and accounts receivable, along with general accounting support. However, this is not a strictly accounting position. Because we are a growing company, we need someone who is comfortable stepping in and assisting with front desk reception, customer and account management, administrative tasks, data entry, and other office functions as needed.

The right person will be someone who can look around the office, see what needs to be done, and jump in to help. We value people who are organized, professional, adaptable, and willing to take on different responsibilities rather than being limited to one specific area.

Key Responsibilities

Accounting – Primary Responsibilities

Process and maintain accounts payable and accounts receivable
Enter vendor invoices and customer invoices accurately and timely
Review invoices for accuracy and proper coding
Prepare and process payments and assist with vendor inquiries
Apply customer payments and maintain accurate customer account records
Assist with collections and follow up on outstanding customer balances
Reconcile accounts and investigate discrepancies
Assist with bank and credit card reconciliations
Maintain organized accounting records and supporting documentation
Assist with month-end close and other accounting functions
Assist with reporting and other accounting projects as needed
Work closely with management and other departments to resolve accounting issues

Administrative & Office Support

Provide backup coverage for the front desk/reception area
Answer and direct incoming phone calls and greet visitors professionally
Assist with customer and account management
Respond to routine customer and vendor inquiries
Assist with data entry, filing, scanning, document organization, and general office administration
Prepare correspondence, reports, spreadsheets, and other documents
Assist other departments with administrative tasks as needed
Provide coverage for other office positions when necessary
Take on special projects and other duties as assigned

What We're Looking For

2+ years of accounting experience, preferably with hands-on AP and AR experience
Strong understanding of basic accounting principles
Experience with accounting software such as QuickBooks preferred
Strong attention to detail and accuracy
Good organizational and time-management skills
Proficiency with Microsoft Office, particularly Excel and Outlook
Professional written and verbal communication skills
Ability to communicate professionally with customers, vendors, and employees
Ability to handle confidential financial and company information appropriately
Strong problem-solving skills and the ability to research and resolve discrepancies
Ability to work independently while also being a team player
Flexible attitude and willingness to assist wherever needed

The Ideal Candidate

The ideal candidate is not necessarily someone looking for a traditional accounting-only position. We are looking for someone who enjoys variety and is comfortable wearing multiple hats.

You may spend part of your morning processing invoices and reconciling accounts, then help cover the front desk, assist a customer, work on an administrative project, or help another department with a task.

Qualifications

Required:

Previous accounting experience with AP and/or AR
Strong attention to detail
Basic understanding of accounting principles
Good computer skills
Professional communication skills
Ability to prioritize multiple tasks
Dependable attendance and punctuality

Preferred:

QuickBooks experience
Experience in a small or mid-sized business environment
Experience handling both accounting and general administrative responsibilities
Bilingual English/Spanish is a plus
