Full Job Description

JOB SUMMARY:

Performs specialized and responsible stenographic and administrative work as required.

DISTINGUISHING FEATURES OF THE CLASS:

This position will be responsible for meeting deadlines and showing initiative in following up on various types of court case tracking procedures, including calendared hearings to make sure that the appropriate order is prepared. Will spend a considerable portion of time in the courtroom logging court proceedings and assuring that all court proceedings are digitally captured. Will require ability to take and transcribe dictation (on job training and learning) and exercise of judgment in following prescribed procedures. An employee of this class will work under general supervision of Judge and Court Administrator. The work is normally checked by an immediate supervisor. The position will require excellent computer skills as well as ability to troubleshoot sound system and computer set-up.

JOB FUNCTIONS:

· Set-up the courtroom each day, making sure that the microphones are working properly and the computer is ready to record proceedings

· Create log notes on spreadsheet FTR Gold program on computer while proceedings are happening

· Transcribe court proceedings as needed

· Take dictated agreements from attorneys and prepare finished agreement with appropriate court order

· Take and type various court orders, opinions and letters

· Determine if parties are present for particular court hearings and do appropriate order, depending on status of the case

· Maintain tickler files for judge and independently follow up on cases as required

· Get daily court files needed for hearings

· Call parties on cases scheduled for contempt, protection from abuse and miscellaneous hearings; prepare the appropriate orders based on established procedures. Notify the judge if a contested hearing will be needed

· Open mail for judge and do outgoing mail as requested

· Process outgoing mail if mail clerk, court administrator’s secretary or deputy court administrator are not available

· Process temporary and final Protection from Abuse Orders

· Keep judge’s outgoing box empty and forward contents to appropriate person or department

· Track family court cases for filing inventories, etc.

· Assist in set-up for the “Education Program for Separated Parents” program

· Answer telephones and give available information regarding scheduling, continuances pending, etc. when appropriate

· Prepare record retention schedules and mark files for destruction, as appropriate

· Prepare log sheets from court proceedings and log time spent in courtroom on a monthly basis

· Keep bench and judge’s personal annual calendars updated, as needed

· Assist Court administrator as requested

· Various other administrative and miscellaneous duties as requested

PHYSICAL REQUIREMENTS:

· Must have the ability to record, convey, and present information, explain procedures, and follow instructions

· Must be able to sit for long periods of time with frequent periods of standing, walking, and occasional twisting, reaching, pulling, and pushing required for obtaining files, doing inspections or other job duties

· Dexterity requirements range from simple to complex movements of fingers/hands, legs/feet, or torso to carry out job duties

· Sedentary work with occasional lifting, 15-20 pounds

· Must be able to pay close attention to detail

REQUIRED KNOWLEDGE, SKILLS and ABILITIES:

· Thorough knowledge of business English, legal terminology, spelling and punctuation

· Thorough knowledge of modern clerical methods and procedures, as well as office equipment, including computer word processing software

· Must have ability to work independently on different clerical tasks as well as ability to understand and follow complex oral and written instructions

· Must have ability to handle the stress of multi-tasking several duties at one time.

· Ability to deal with the public, press and jurors requesting information and assistance

· Must preserve confidentiality required in the courts

MINIMUM EXPERIENCE and TRAINING:

· Typing skills using word processing software for specialized matters – 65 wpm

· High school diploma required

· Requested, but not required: courses in shorthand or speedwriting, typing, transcribing dictation and office procedures or similar experience
